Job Overview

We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves managing office procedures, supporting staff, coordinating communication, and maintaining a productive workspace. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive attitude to foster efficiency and a positive work atmosphere. This paid position offers an exciting opportunity to lead administrative functions and contribute to the overall success of our team.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Oversee office management tasks such as filing, data entry, maintaining supplies, and ensuring the office environment is organized and welcoming.
Utilize productivity software like Microsoft Office (Word, Excel, Outlook) to prepare documents, spreadsheets, reports, and correspondence.
Coordinate calendar management and schedule appointments or meetings for staff members using effective time management skills.
Support client communication and customer service efforts by addressing inquiries promptly and professionally.
Maintain accurate records through meticulous data entry, proofreading documents, and managing filing systems for easy retrieval.
Assist with technical proficiency tasks including basic troubleshooting of office equipment and ensuring computer literacy across the team.

Qualifications

Proven experience in office management or administrative roles with a strong background in clerical work and customer support.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), spreadsheets, and productivity software.
Familiarity with QuickBooks or similar accounting software is a plus.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Strong written and verbal communication skills; bilingual abilities are advantageous.
Experience handling multi-line phone systems and front desk responsibilities with professionalism.
Demonstrated computer literacy including data entry, proofreading, file management, and calendar coordination.
Personal assistant experience or previous roles involving calendar management are highly desirable.
