Full Job Description

Our client, Hawthorne House, is seeking a highly organized, proactive, and professional Executive Assistant to provide direct support to the CEO. This is a dynamic, high-impact role that requires exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.

The Executive Assistant will serve as a trusted partner to the CEO, managing business and personal priorities and overseeing administrative responsibilities for the CEO's Airbnb properties. The ideal candidate is resourceful, adaptable, customer service-oriented, and thrives in a role where no two days are the same.

Responsibilities

Provide comprehensive administrative support to the CEO.
Manage calendars, appointments, meetings, and travel arrangements.
Screen and manage incoming phone calls, emails, and correspondence.
Coordinate meetings, prepare agendas, and take meeting notes as needed.
Handle confidential information with the highest level of professionalism and discretion.
Assist with personal assistant responsibilities, including scheduling personal appointments, coordinating errands, and managing personal projects.
Oversee day-to-day administrative tasks related to Airbnb properties, including guest communications, reservations, vendor coordination, maintenance scheduling, and ensuring properties are guest-ready.
Coordinate with vendors, contractors, and service providers to ensure timely completion of projects and maintenance.
Assist with special projects and operational initiatives as assigned.
Maintain organized electronic and physical filing systems.
Anticipate the needs of the CEO and proactively resolve issues before they arise.

Physical Requirements

Ability to sit, stand, bend, and occasionally lift or move office supplies and packages.
Ability to work on a computer for extended periods.
Ability to travel locally as needed to assist with errands or property-related responsibilities.

Requirements

Excellent customer service skills
Mac proficiency preferred
Experience in MS Office
CRM knowledge and project management software preferred
Experience coordinating short-term rental properties (Airbnb or similar) is a plus
Self-motivated, detail-oriented, and able to work independently with minimal supervision

Reports directly to the CEO.
