Full Job Description

Job Summary

Our family farming company is seeking a dynamic and highly organized Accounting / Office Manager to lead finance and administrative functions. This role involves overseeing daily accounting activities, managing office functions, supervising staff, and ensuring smooth communication across departments. The ideal candidate will bring a proactive approach to office management, possess strong accounting expertise, and demonstrate exceptional leadership skills. Your energy and enthusiasm will drive efficiency, accuracy, and a positive work environment, supporting our organization’s financial health and operational excellence.

Responsibilities

Oversee all accounting functions including bookkeeping, payroll processing, budgeting, and financial reporting using accounting software (QuickBooks and CenterPoint).
Manage office operations of two additional staff to ensure a well-organized, efficient environment that supports team productivity.
Supervise office and field staff and provide training & development opportunities to foster growth and team cohesion.
Handle vendor management by negotiating contracts, processing invoices, and maintaining positive relationships with suppliers.
Coordinate schedule management for executives and team members, including calendar oversight and meeting arrangements.
Maintain confidential information with integrity while ensuring compliance with organizational policies and legal standards.
Oversee human resources functions such as onboarding new employees, managing employee records, and supporting HR initiatives.
Facilitate communication between departments, clients, vendors, and internal teams through excellent customer service and professional phone etiquette.
Organize company events, meetings, and front desk activities to promote a welcoming and professional office atmosphere.
Manage filing systems, record keeping, and document control to ensure accuracy and accessibility of critical information.

Qualifications

Proven experience in office management with a strong background in accounting or finance roles.
Demonstrated supervising experience with the ability to lead teams effectively.
Proficiency in accounting software such as QuickBooks; experience with other financial software is a plus.
Strong organizational skills with the ability to manage multiple priorities simultaneously.
Excellent communication skills—both verbal and written—along with professional phone etiquette.
Skilled in Microsoft Office Suite including spreadsheets for budgeting, reporting, and data analysis.
Experience in event planning, vendor negotiations, payroll processing, and human resources functions preferred.
Knowledge of bookkeeping practices, filing systems, calendar management, insurance, and clerical procedures.
Ability to handle confidential information discreetly while maintaining high levels of professionalism.
