Full Job Description

Administrative Assistant – Purchasing, Accounts Receivable & Front Desk

We are seeking a dependable, organized, and professional Administrative Assistant to support purchasing, accounts receivable, and front office operations. This position serves as a key point of contact for employees, customers, vendors, and visitors while assisting with administrative and accounting functions.

Responsibilities

Front Desk & Administrative Support

Greet and assist visitors, customers, vendors, and employees
Answer and direct incoming phone calls
Manage incoming and outgoing mail, packages, and deliveries
Maintain a clean and professional front office area
Assist with filing, data entry, scanning, and document management
Support various administrative projects as assigned

Purchasing Support

Create and process purchase orders
Assist with ordering office supplies, materials, and other business needs
Communicate with vendors regarding orders, deliveries, and pricing
Maintain purchasing records and documentation
Track orders and follow up on outstanding deliveries
Assist with inventoryrelated paperwork and reporting

Accounts Receivable

Generate and distribute customer invoices
Process incoming payments and maintain customer account records
Assist with collection efforts on pastdue accounts
Reconcile customer accounts and resolve discrepancies
Maintain accurate financial records and documentation
Support accounting functions as needed

Qualifications

Previous administrative, office, accounting, purchasing, or customer service experience preferred
Strong communication and interpersonal skills
Excellent organizational and time management abilities
Attention to detail and accuracy
Ability to handle confidential information professionally
Proficiency in Microsoft Office, including Outlook, Excel, and Word
Ability to prioritize multiple tasks in a fastpaced environment

Physical Requirements

Ability to sit, stand, and walk throughout the workday
Ability to lift 2040 pounds to move packages

Schedule

Monday through Friday

7:45 AM – 4:15 PM

Compensation

Starting pay is $17.00–$19.00 per hour, with the potential for a higher starting rate based on relevant experience, skills, and qualifications.
