Full Job Description

Position Summary

Amra Law, P.C. is seeking an experienced estate planning attorney or senior estate planning paralegal to manage client matters from intake through execution, funding, deed recording, and final file completion. This position requires exceptional ownership, accuracy, follow-through, and client communication. The successful candidate will keep every matter moving, identify missing information early, and ensure that no deed, signature, recording, or co-counsel follow-up remains unresolved.

The role is particularly well suited for someone who understands that excellent estate planning is not limited to drafting documents—it requires disciplined file management, careful quality control, and confirmation that the client’s assets are properly coordinated with the plan.

Primary ResponsibilitiesEstate Planning File Management and Drafting

· Manage estate planning files from onboarding through drafting, attorney review, signing, funding, and closing.

· Review client questionnaires and supporting documents; identify inconsistencies, missing information, and follow-up items before drafting begins.

· Prepare and revise revocable living trusts, wills, powers of attorney, advance health care directives, HIPAA authorizations, certifications of trust, assignments, and related estate planning documents using firm-approved templates.

· Coordinate state-specific matters with the firm’s co-counsel and ensure that requested revisions, legal requirements, and deadlines are clearly documented and completed.

· Maintain accurate task lists, file notes, deadlines, and status updates in the firm’s case-management system.

· Prepare files for attorney review and conduct a detailed quality-control review for names, family information, fiduciaries, distributions, property descriptions, execution requirements, and internal consistency.

Deed and Recording Coordination

· Coordinate deed preparation and recording with the firm’s co-counsel offices, confirming that the property information, vesting, trust information, legal description, and execution requirements are accurate.

· Submit and monitor California and Washington deeds through Simplifile and coordinate deeds in other states with the appropriate co-counsel office.

· Track pending deeds, follow up on missing information or recording issues, and confirm that the final recorded deed is saved to the client file and provided to the client.

Client, Signing, and Team Coordination

· Communicate professionally and compassionately with clients regarding outstanding information, draft status, signing requirements, funding steps, and deed progress.

· Prepare signing packages and detailed execution instructions; coordinate notaries, witnesses, remote or embassy signings, and separate acknowledgments when parties sign in different locations.

· Coordinate with attorneys, assistants, binder and mailing staff, notaries, deed vendors, title companies, and co-counsel so that responsibilities and deadlines are clear.

· After signing, confirm that every document has been properly executed, notarized where required, scanned, saved, and routed for the next step.

· Assist clients with trust-funding follow-up, including certificates of trust and general instructions for financial accounts, while escalating legal or tax questions to the appropriate attorney or advisor.

· Provide concise weekly status reports identifying completed matters, pending deeds, client delays, co-counsel delays, approaching deadlines, and files requiring attorney attention.

Required Qualifications

· Meaningful estate planning experience in a law firm, including trust and ancillary-document drafting and post-signing administration.

· Demonstrated experience preparing, reviewing, filing, or coordinating real-property deeds and confirming recording.

· Exceptional attention to detail, proofreading ability, organization, and deadline management across a high-volume caseload.

· Ability to communicate clearly with clients, county offices, notaries, vendors, and attorneys in multiple states.

· Comfort with Microsoft Word, PDF tools, electronic signature and notary workflows, cloud file systems, and legal case-management software.

· Ability to work independently, follow established systems, and proactively bring every assigned matter to completion.

· Ability to work from the Irvine office one or two days per week, depending on signing volume, incoming files, and operational needs.

Preferred Qualifications

· Experience with multi-state estate planning, nationwide co-counsel relationships, trust funding, title matters, or probate and trust administration.

· Familiarity with Islamic estate planning or a sincere willingness to learn Islamic inheritance concepts and the firm’s planning approach.

· Experience improving checklists, document templates, deed trackers, client communications, and quality-control systems.

· Experience in a client-centered boutique law firm where responsiveness, empathy, and accountability are essential.

What Success Looks Like

· Every client file has a clear status, owner, deadline, and next action.

· Drafts are accurate and substantially complete before attorney review.

· Clients receive timely, clear updates and are not left wondering about the status of their matters.

· Deeds are coordinated with co-counsel, tracked through recording, and properly stored in the client file.

· Potential errors and delays are identified and resolved before they become urgent problems.

The individual in this role must exercise sound judgment, protect client confidentiality, communicate respectfully, and understand the limits of the position. A paralegal will work under attorney supervision and will not provide independent legal advice. An attorney candidate may provide legal advice and assume attorney-level responsibilities consistent with experience, licensure, and firm assignment.
