JOB SUMMARY

The Patient Experience Coordinator (PEC) role is pivotal in ensuring exceptional customer service for our patients while maintaining the operational flow of our facility. Responsibilities include greeting patients, managing admitting paperwork, facilitating efficient patient flow, operating facility telephones, and participating in administrative duties and Amalie activities. The ideal candidate possesses strong communication and organizational skills, a passion for customer service, and a commitment to contributing to a positive patient experience and overall facility functionality.

Qualifications

Experience: Prior experience in administrative roles.

Communication skills: Excellent verbal and written communication skills are essential for interacting with patients, healthcare providers and staff.

Organizational skills: Strong organizational skills are important for managing appointments, maintaining patient records, and handling multiple administrative tasks simultaneously.

Computer Proficiency: Familiarity with electronic medical record systems and basic office applications.

Customer Service Skills: A patient center approach and strong customer service skills are crucial for creating a welcoming front desk experience.

Attention to detail: Scheduling, billing, and maintaining patient records to ensure high quality care and compliance with regulations.

Problem Solving Skills: The ability to quickly and effectively solve issues, such as scheduling conflicts or billing problems.

Knowledge of Cosmetic terminology: Understanding of medical cosmetic terminology, procedures and products that Amalie has to offer.

Multitasking Ability: The ability to handle multiple tasks at once in a busy environment, such as answering phones while checking in patients, is important.

Interpersonal Skills: Being personal and empathetic, and having the ability to build positive relationships with patients and staff, are key to a successful Patient Experience Coordinator role.

Professionalism: maintaining a professional demeanor and ensuring confidentiality and privacy of patient information.

Mental Demands

Require constant judgment, leadership and the ability to make decisions and solve problems. Require language skills adequate for high level written, interpersonal and effective telephone communications in English.

Physical Demands

Sitting for a considerable amount of time.

Visual and auditory acuity for frequent use of computer, telephone, virtual assistant and occasional use of other office equipment.

Essential Job Responsibilities

- Serves as telephone operator for facility, responsible for correct routing of incoming calls, taking accurate messages when unable to connect to requested party.

- Responsible for receiving and shipping mail and deliveries.

- Greet patients and gives necessary paperwork to complete.

- Notifies appropriate clinical staff of patients arrival.

- Responsible for collection of cash, checks and credit card payments.

- Responsible for Allie and Aspire rewards programs and entering patients points at checkout.

- Responsible for reconciling cash daily.

- Responsible for maintaining inventory of business office supplies, ordering business office supplies, checking accuracy of order upon arrival, distribution and storage of businesses office supplies.

- Responsible for kitchen supplies.

- Responsible for office brand scent, making sure no strong odors are brought into the office.

- Responsible for maintaining patient drinks and snacks supply and maintaining customized drink stickers as appropriate.

- Responsible for keeping reception/waiting area tidy.

- Responsible for keeping floors clean and bathrooms tidy and stocked.

- Answer phone with a smile and kind tone.

- Greet Patients with a smile, always greet the patient in front of you first.

- Check patients in and out.

- Enter patient data as necessary.

- Form relationships with patients before consultation including instructions on completing the patient portal.

- Understanding of financing options including care credit, help patients where necessary.

- Gift cards: Be able to complete gift card transactions.

- Assistant inventory management.

- Follow up with patients to maintain the relationship.

- Assist clinical staff when needed.

- Represent Amalie’s vision of the practice in all contact with the patient.

Pay: $18.00 - $22.00 per hour
