Job Overview
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring smooth daily operations at the front desk. Your energetic and organized approach will help create a positive environment, manage administrative tasks efficiently, and support overall office functionality. This paid position offers an exciting opportunity to develop your administrative and customer service skills in a professional setting.

Responsibilities

Greet visitors promptly and professionally, providing excellent customer service and ensuring they feel welcomed.
Manage multi-line phone systems to answer inquiries, direct calls accurately, and relay messages efficiently.
Handle all front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming correspondence.
Perform data entry tasks using productivity software such as Microsoft Office, spreadsheets, and Word processing tools with accuracy and attention to detail.
Maintain organized filing systems, manage office supplies inventory, and support general office management activities.
Assist with calendar management and scheduling for staff or executives as needed.
Support clerical tasks such as proofreading documents, preparing reports, and ensuring proper phone etiquette is maintained at all times.

Skills

Proven experience in medical office or administrative support roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes.
Excellent computer literacy and technical proficiency to navigate various software applications efficiently.
Bilingual abilities are highly desirable to communicate effectively with diverse clients and visitors.
Strong customer service skills combined with professional phone communication and phone etiquette.
Ability to multitask effectively while maintaining high levels of accuracy in typing, proofreading, filing, and other clerical duties.
Experience with office equipment such as multi-line phone systems, printers, scanners, and QuickBooks is a plus.
Exceptional time management skills to prioritize tasks in a fast-paced environment.
Previous personal assistant or front desk experience is advantageous for handling calendar management and client communication seamlessly.
