The Sanctuary Golf & Social Club is a private membership club in Brentwood, TN built around something most places are unable to manufacture: genuine connection. Our space includes golf suites, private meeting rooms, a member lounge, and a full bar and dining program. Members don't just drop in, they spend their days here. Role Overview
What You'll Be Doing
As Membership Coordinator, you own relationship momentum after the sale. Membership sales gets a member in the door. What happens in the first 60 days, and every day after that, is yours. You are the single most strategically important seat on the front line, because you are the one who decides, through the work you do, whether a member renews, refers, and actually belongs here.
Your Team
● The Front Desk Concierge team's day to day performance is part of what you're measured on. You don't run their schedule, but you own the standard: shift audits, guest capture, and team activity all roll up to you.
Your Day-to-Day
● Own all member communication across email, app, and in-club messaging
● Coordinate and execute new member onboarding logistics end to end, so every new member's first 60 days actually build a habit of coming back
● Acknowledge and resolve every inbound member request, and manage the waitlist
● Keep member intelligence, preferences, relationships, at-risk signals, current in Northstar
● Flag every member who hasn't visited in 30 days and reach out within 7 days, every time
● Serve as a visible host and coordinate the member experience across departments
● Hold the Concierge team's standard: shift audits, 100% capture, and team performance at target
What You Are Not Responsible For
Membership sales has a dedicated owner. Your lane starts the moment a new member signs. Food and beverage, events, and golf operations each have their own owners. Your job is the relationship, from onboarding through renewal, and within that, you own it completely.
Who You Are
You genuinely like people, and you remember things about them without being told to. You notice when someone hasn't been in for a few weeks before anyone points it out, and you don't wait for a system to tell you to reach out. You're organized enough to run onboarding logistics and a waitlist without dropping anything, and warm enough that members feel looked after rather than managed. You take real ownership of a number, not just a task list, and you understand that retention is not luck, it's the accumulation of a hundred small things done consistently. You hold a team standard without needing to run the team, because your credibility comes from the work, not the title.
You Bring
● 2+ years in a member facing, hospitality, or client relationship role where retention or renewal was part of what you were measured on
● Comfort working inside a CRM or membership system (Northstar or similar) to track member intelligence and act on it, not just log it
● A track record of following through, inbound requests actually get resolved, not just acknowledged
● Private club, hospitality, or membership based experience is a meaningful plus, not a requirement
What Success Looks Like
A year from now, voluntary attrition is at or below 8%, and trending toward the excellent range under 5%. Every member who goes quiet for 30 days gets a real outreach within a week, and most of them come back. New members complete onboarding and are still showing up at 60 days, not fading out after the initial excitement. Requests are acknowledged within the hour and resolved within a day, as a rule, not an exception. And the Concierge team's day to day holds a standard members notice, because you built it that way.
Compensation
This role offers a base salary of $45,000 to $50,000, based on experience. Add quarterly bonus, paid four times a year instead of once, and total compensation reaches up to $60,000 in year one.
