MEDICAL RECORDS COORDINATOR

About Us: Utopia Home Care is a Medicare certified, state licensed, medical home care agency that provides in-home nursing, therapy, and home health aide services throughout Connecticut. We have been family owned and operated since 1983 and currently serve over 1400 clients throughout the state!

Overview:

The Medical Records Coordinator responsibilities include preparation and maintenance of client charts including tracking of orders, and other duties as might be deemed necessary.
The Medical Records professional is responsible for maintaining accurate, complete, and secure patient health records in compliance with legal, regulatory, and organizational standards. This role supports clinical staff by ensuring timely access to medical information while protecting patient confidentiality.

Medical Records Coordinator Qualifications/Requirements:

Minimum of two years experience in medical records, or some comparable combination of education and experience.
Working knowledge of medical records and guidelines regarding doctors orders, etc.
Knowledge of proper filing and record keeping procedures.
High school diploma or equivalent (required)
Associate degree or certification in Health Information Management (preferred)
Knowledge of medical terminology
Familiarity with EHR systems and medical record workflows
Strong attention to detail and organizational skills
Ability to maintain confidentiality and handle sensitive information
Basic computer and data entry skills

Understanding of healthcare regulations (HIPAA)

Medical Records Coordinator Job Duties:

Logs in orders in its proper place.
Aids in maintaining client charts in a neat and up to date manner.
Completes work to meet schedule.
Maintains a safe, clean and orderly work environment.
Performs other job-related duties as required.
Maintains compliance with all agency policies and procedures.
Assemble, review, and maintain patient medical records for accuracy and completeness
File, retrieve, and archive medical records (paper and/or electronic)
Enter, update, and verify patient information in Electronic Health Record (EHR) systems
Ensure compliance with HIPAA and other privacy regulations
Release medical records in accordance with authorization and legal requirements
Audit records for missing documentation and follow up with providers as needed
Respond to internal and external requests for medical information
Maintain record retention and destruction schedules
Collaborate with healthcare providers, billing, and administrative staff
Prepare reports and assist with audits or inspections when required

Functional Abilities:

Visual / hearing ability sufficient to comprehend written and verbal communication.
Ability to effectively deal with stress.
Ability to verbalize effectively in order to advise on the status of job responsibilities.
Ability to sit for long periods of time.
Ability to perform a wide variety of tasks with frequent interaction with many people.

Work Environment:

General office with frequent telephone activity and use of the computer system.
