Full Job Description

Position Summary

The Administrative Assistant provides administrative, organizational, and operational support to the Harrison County Process Server Division. This position is responsible for coordinating assignments, maintaining accurate records, communicating with clients and process servers, monitoring deadlines, and assisting with the day-to-day operations of the division.

The ideal candidate is highly organized, detail-oriented, dependable, professional, and comfortable handling confidential legal and court-related information in a fast-paced environment.

Essential Duties and Responsibilities

Receive, review, and process requests for service of legal documents.
Enter and maintain accurate case, client, defendant, and service information in company databases and case-management systems.
Assign service requests to process servers based on location, availability, and case requirements.
Communicate with process servers regarding assignments, deadlines, addresses, status updates, and documentation.
Monitor the status of active assignments and follow up on outstanding or time-sensitive matters.
Maintain organized electronic and physical case files.
Review affidavits, returns of service, proofs of service, invoices, and other documents for completeness and accuracy.
Prepare and send routine correspondence, status updates, and service-related documentation to clients.
Communicate professionally with attorneys, law firms, courts, government agencies, clients, and process servers.
Track service attempts, due dates, court deadlines, and other important case milestones.
Enter and update service attempts and results in the appropriate systems.
Assist with preparing reports, spreadsheets, billing documentation, and management summaries.
Assist with invoicing, payment tracking, and resolving routine billing questions when needed.
Ensure documentation is properly filed and available for client or internal review.
Handle sensitive and confidential information in accordance with company policies and applicable laws.
Assist management with administrative projects and other duties related to the operation of the process serving division.
Maintain a professional and courteous manner when dealing with clients, legal professionals, and members of the public.

Qualifications

High school diploma or equivalent required; additional education or administrative/legal experience preferred.
Previous administrative, legal, court, law-office, process-serving, or customer-service experience is preferred.
Strong computer skills, including Microsoft Office/Google Workspace and database or case-management software.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Ability to prioritize multiple assignments and meet deadlines.
Ability to work independently while also functioning effectively as part of a team.
Professional telephone and email etiquette.
Ability to maintain confidentiality and handle sensitive information appropriately.
Strong organizational and time-management skills.
Ability to learn and follow company procedures and West Virginia-specific process-serving requirements.
Due to the sensitive nature of the information that is involved in the position, all persons considered for employment will have a criminal background check performed.

Preferred Experience

Experience in any of the following is a plus:

Legal or law-office administration
Court or judicial-system procedures
Process serving or civil-process operations
Records management
Scheduling and dispatching
Case-management software
Legal document preparation
Client account management
Billing and invoicing

Problem Solving: Identifies issues with addresses, assignments, documentation, or service attempts and works toward appropriate solutions.

Confidentiality: Demonstrates discretion when handling legal, personal, and case-related information.

Reliability: Consistently follows through on assignments and meets established deadlines.

Work Environment

This position primarily involves office and computer-based administrative work, including frequent telephone and email communication. The employee may work in a fast-paced environment where multiple cases and deadlines must be monitored simultaneously.

Physical Requirements

Ability to sit and work at a computer for extended periods.
Ability to communicate by telephone and electronic communication.
Ability to occasionally lift or move office materials and files.
Ability to perform routine office duties as required.

Compensation and Benefits

Pay: $ 47,942.00/year
Schedule: Monday thru Friday
Benefits: Medical insurance, dental and vision insurance, life and disability, longevity pay, vacation and sick leave, bereavement, jury duty and military leave provided.
