Position Summary:

Key Roles/Responsibilities:

Greet in-person visitors and/or callers; handle inquiries or direct them to the appropriate person according to their needs while always providing great experience and leading with a customer service mentality.

Provide administrative support to the President and executive leadership team, including calendar management, scheduling meetings, coordinating appointments, and ensuring executives are well-organized and prepared for meetings and events.

Maintain executive and company calendars, including scheduling and confirming appointments, coordinating meetings, and managing scheduling conflicts.

Coordinate and book travel arrangements for executives and other employees as needed.

Create and maintain databases.

Set up and maintain paper or electronic filing systems.

Maintain confidentiality of business, client, executive, employee, and other sensitive information.

Assist with the coordination and planning of company meetings, including preparing materials, coordinating logistics, and managing meeting schedules.

Assist with expense reporting.

Assist with and coordinate marketing initiatives.

Support executives with organizational tasks, follow-up activities, and administrative projects to ensure priorities are managed effectively.

Work with other employees as a team to accomplish assigned tasks and projects.

Other duties and special projects, as assigned.

Required Education, Experience, and Qualifications

High school diploma or equivalent required.

One (1) or more year of experience in an office environment in an administrative role.

Knowledge of administrative and clerical procedures and systems.

Texas Notary, preferred.

Able to read, speak and write in English.

Proficiency with Office software products (Word, Excel, Outlook, et cetera).

Able to work under stressful conditions at times.

Strong work ethics of integrity and honesty and strives for excellence in all activities.

Ability to lift, push, and/or pull up to thirty-five (35) pounds without strain or injury.

Working Conditions:

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift, up to 35 pounds at times.

Positions self to install equipment, including under desks

Moves throughout the building to access files.

Able to work under stressful conditions at times.
