Job Overview

We are seeking a dynamic and bilingual (English& Spanish) Front Desk Representative to serve as the welcoming face of our organization. In this energetic role, you will manage front desk operations, provide exceptional customer service, and facilitate effective communication between Patients, Drs and staff. Your positive attitude and organizational skills will help create a professional and friendly environment, ensuring smooth daily operations. This paid position offers an exciting opportunity to develop your office management skills while supporting our team in delivering outstanding service.

Duties

Ensuring a positive first impression for everyone entering the facility
Answer multi-line phone systems promptly, professionally, and courteously, directing calls to appropriate personnel
Manage front desk responsibilities including phone reception, scheduling appointments, and handling inquiries in both languages
Maintain organized work area, update patient records, and perform general admin tasks such as data entry and document proofreading
Assist with office management duties such as calendar management, supply inventory, and coordinating meetings or events
Support customer service efforts by addressing questions or concerns with professionalism and empathy
Utilize Microsoft Office programs (Word, Excel) to prepare correspondence, reports, and other administrative documents

Requirements

Fluent in at least two languages (bilingual proficiency required), with excellent verbal and written communication skills in both languages
Proven experience in office management or administrative support roles with strong clerical skills
Proficiency with Microsoft Office Suite (Word, Excel) and general computer literacy
Prior experience answering multi-line phones and managing front desk operations with excellent phone etiquette
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Demonstrated customer service skills with a friendly and professional demeanor
Familiarity with office equipment such as multi-line phone systems, fax machines, and printers
Previous experience supporting client communication and handling confidential information responsibly
Excellent time management skills; ability to prioritize tasks effectively
Personal assistant or calendar management experience is advantageous
