Position Summary
Cardinal Contractors is seeking a highly organized, proactive, and customer-focused Sales Coordinator to manage and support the movement of opportunities through our sales pipeline.
The Sales Coordinator is responsible for actively monitoring leads and sales opportunities, maintaining consistent customer communication, identifying stalled opportunities, and coordinating the next steps needed to keep qualified prospects progressing through the sales process.
This is not a traditional administrative position. The Sales Coordinator will have direct involvement with homeowners and our Sales Representatives and will play an important role in protecting potential revenue by ensuring every qualified opportunity receives consistent attention and timely follow-up.
The ideal candidate is persistent, highly organized, comfortable making outbound calls, and naturally motivated to see tasks and opportunities through to completion.
Key ResponsibilitiesSales Pipeline Management
- Monitor all active leads and sales opportunities within JobNimbus daily.
- Review sales boards to identify opportunities approaching or exceeding established aging thresholds.
- Ensure every active opportunity has a documented next step and appropriate follow-up date.
- Identify stalled or at-risk opportunities and take proactive action to move them forward.
- Maintain accurate and organized sales pipeline information within JobNimbus.
- Work directly with Sales Representatives to obtain updates and determine appropriate next actions.
- Escalate high-value or time-sensitive opportunities to Sales Leadership when necessary.
- Maintain visibility into the overall health and movement of the sales pipeline.
Customer Follow-Up & Lead Retention
- Communicate directly with homeowners by phone, text, and email throughout the sales process.
- Re-engage customers whose opportunities have become inactive or stalled.
- Follow up with customers regarding inspections, estimates, insurance claims, adjuster appointments, financing, contract decisions, signatures, documentation, and other items required to advance the opportunity.
- Identify customer questions, concerns, or obstacles preventing the sale from moving forward.
- Coordinate with the assigned Sales Representative and leadership when additional assistance is needed.
- Maintain professional, consistent communication that reflects Cardinal Contractors' customer service standards.
Opportunity Recovery
- Identify qualified sales opportunities that may be at risk of being lost.
- Conduct additional outreach and follow-up to recover viable opportunities.
- Determine why an opportunity has stalled and develop an appropriate next action.
- Return recovered opportunities to the active sales process.
- Bring qualified opportunities requiring additional support or review to Sales Leadership.
- Track recovered opportunities and resulting contract revenue for performance reporting.
Sales Process Accountability
- Monitor Sales Representative activity and CRM documentation related to active opportunities.
- Ensure customer notes, communication attempts, appointments, and next steps are documented in JobNimbus.
- Identify opportunities sitting outside established sales pipeline aging standards.
- Communicate overdue follow-up items to the assigned Sales Representative.
- Identify recurring pipeline or organizational issues and communicate trends to leadership.
- Support consistent use of company sales processes and established CRM statuses.
JobNimbus / CRM Management
- Maintain accurate customer and opportunity information.
- Ensure sales statuses accurately represent the current stage of each opportunity.
- Document customer communications and follow-up activity.
- Monitor Days in Status against established pipeline aging thresholds.
- Maintain clean, accurate, and actionable sales boards.
- Assist leadership with weekly sales pipeline reporting.
Sales Pipeline Expectations
The Sales Coordinator will monitor opportunities according to company-established aging standards.
Opportunities exceeding their established threshold will require review, documented follow-up, and an appropriate next action.
Key Performance Indicators
Performance for this position may include:
- Percentage of active opportunities reviewed weekly.
- Percentage of opportunities with a documented next action.
- Number of opportunities exceeding established aging thresholds.
- Number of stalled opportunities contacted.
- Number of opportunities successfully re-engaged.
- Recovered opportunities converted to signed contracts.
- Recovered contract revenue.
- Average Days in Status by sales stage.
- Customer follow-up activity completed.
- Sales pipeline movement.
- Reduction in opportunities lost due to inactivity or insufficient communication.
- Overall accuracy and organization of the JobNimbus sales pipeline.
Performance Bonus Opportunity
In addition to base salary, the Sales Coordinator will have the opportunity to earn performance-based bonuses for successfully recovering qualified sales opportunities.
A recovered opportunity may include a qualified prospect that had become inactive or exceeded its established pipeline threshold and was successfully re-engaged through the direct efforts of the Sales Coordinator.
Bonus eligibility may be based on milestones such as:
- Successfully returning a qualified opportunity to the active sales process.
- Advancing an at-risk opportunity to Sales Leadership for closing.
- Converting a recovered opportunity into a signed contract.
- Meeting quarterly pipeline retention or recovered-revenue goals.
Recovered opportunities and bonus eligibility will be reviewed and approved by Sales Leadership.
Qualifications
- Previous experience in sales coordination, inside sales, customer service, account management, or a similar role preferred.
- Roofing, construction, insurance restoration, or home-services experience is preferred but not required.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Comfortable making frequent outbound customer calls.
- Ability to manage a high volume of active opportunities simultaneously.
- Strong attention to detail and follow-through.
- Comfortable communicating with both customers and Sales Representatives.
- Ability to identify priorities and take action without waiting for constant direction.
- CRM experience required; JobNimbus experience is preferred.
- Comfortable learning basic roofing, insurance claim, estimating, and production terminology.
