Full Job Description

Receptionist – Recycling & Trash Hauling Dispatch Office

We are seeking a dependable, organized, and professional Receptionist to join our busy recycling and trash hauling dispatch office. The Receptionist will serve as a primary point of contact for customers, drivers, vendors, and internal staff. This position is responsible for handling incoming phone calls and emails, maintaining organized records and files, and supporting the sales and dispatch departments with daily administrative tasks.

The ideal candidate is customer-service oriented, detail-focused, and able to stay organized while working in a fast-paced environment.

Essential Responsibilities

Answer and direct incoming phone calls in a professional and courteous manner.
Assist customers with general questions regarding trash and recycling services, pickups, deliveries, containers, and account information.
Take accurate messages and communicate customer requests to the appropriate dispatcher, salesperson, or manager.
Monitor and respond to incoming emails and distribute requests to the appropriate staff.
Maintain organized electronic and paper filing systems.
Create, update, and maintain sales files and customer documentation.
Ensure sales files contain accurate and up-to-date customer information, service details, pricing, contracts, and related paperwork.
Assist the sales team with organizing customer records and documentation.
Provide administrative support to the dispatch department as needed.
Communicate important information between customers, drivers, dispatchers, sales representatives, and management.
Assist with maintaining accurate records related to customer accounts and services.
File and retrieve documents as requested.
Handle sensitive customer and company information professionally and confidentially.
Assist with general office duties and other administrative tasks as assigned.

Qualifications

Previous receptionist, office administration, customer service, dispatch, or similar experience preferred.
Experience in the waste, recycling, transportation, or trucking industry is a plus.
Excellent verbal and written communication skills.
Professional and friendly telephone manner.
Strong organizational and filing skills.
Excellent attention to detail and accuracy.
Ability to prioritize multiple tasks in a busy dispatch environment.
Comfortable communicating with customers, drivers, vendors, and coworkers.
Basic computer skills, including email, Microsoft Office, and electronic filing systems.
Ability to work independently while also functioning effectively as part of a team.

Work Environment

This is an office-based position in a fast-paced recycling and trash hauling dispatch environment.
