Job Overview

We are seeking an energetic and detail-oriented Property Management Assistant to join our dynamic team. In this vital role, you will support the daily operations of our property management department, ensuring smooth communication between tenants, landlords, vendors, and internal teams. Your proactive approach and excellent organizational skills will help maintain high standards of property upkeep, tenant satisfaction, and regulatory compliance. Responsibilities

Assist with lease or rental agreement management, ensuring all documentation is accurate, complete, and compliant with applicable laws.
Use property management tools such as Yardi and OneSite to input data, track rent payments, schedule maintenance, and generate reports.
Coordinate property maintenance requests and facilities management activities to ensure timely resolution of issues.
Support landlord-tenant law compliance by maintaining records related to tenant interactions, notices, and legal documentation.
Communicate effectively with clients through phone, email, and in-person interactions to address inquiries and resolve conflicts promptly.
Manage client relationships by upselling additional services or lease options while maintaining excellent customer service standards.
Assist in budgeting processes by tracking expenses and preparing financial reports related to property operations.
Ensure adherence to Fair Housing regulations and Section 8 guidelines during tenant screening and leasing processes.
Support team management by collaborating with property managers, leasing agents, and maintenance staff to optimize operational efficiency.

Experience

Prior experience in property management or real estate administrative roles is highly preferred.
Familiarity with property management software such as Yardi, OneSite, or similar tools is essential.
Knowledge of landlord-tenant law, Section 8 housing programs, LIHTC (Low-Income Housing Tax Credit), and Fair Housing regulations is required.
Demonstrated ability in conflict management, negotiation, and contract handling will be advantageous.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data entry, filing, reporting, and correspondence.
Experience in property leasing or sales combined with excellent customer service skills will help you succeed.
Office experience supporting property management operations or facilities management is a plus.
Ability to manage multiple priorities efficiently while maintaining attention to detail is crucial for success in this role.
