POSITION SUMMARY:
Under the direction of the Director of Cannabis Operations, the Office Manager is responsible for coordinating the day-to-day administrative functions of Northern Light Cannabis Company, including accounting support, purchasing, inventory administration, vendor coordination, payroll and human resources documentation, record retention, and office operations. The Office Manager serves as the primary administrative resource for the organization, supporting the Director of Cannabis Operations, Operations Manager, and Cultivation Manager by ensuring accurate documentation, timely reporting, and efficient business processes. This position also provides operational support and serves as a backup to the Operations Manager as business needs require.
ESSENTIAL FUNCTIONS:
1. Coordinate the daily administrative operations of Northern Light Cannabis Company.
2. Provide professional customer service to internal and external customers.
3. Provide administrative support to the Director of Cannabis Operations and management team.
4. Serve as backup to the Operations Manager when operational needs require.
5. Perform Budtender and Distribution Specialist duties when necessary to maintain business continuity.
6. Coordinate departmental purchasing requests and maintain purchasing documentation.
7. Process check requests, invoices, expense reconciliations, and other accounting support documentation.
8. Maintain accurate digital and physical filing systems in accordance with established record retention practices.
9. Maintain administrative records for retail, cultivation, distribution, and general operations.
10. Assist with payroll administration by reviewing time records, tip documentation, attendance records, and related paperwork prior to submission.
11. Coordinate new hire paperwork, onboarding documentation, and required personnel records in partnership with Human Resources.
12. Maintain vendor files and coordinate communications regarding orders, deliveries, and invoices.
13. Support inventory administration by maintaining inventory documentation, product request forms, receiving documentation, transfers, and inventory records.
14. Assist with inventory counts, reconciliations, and audit preparation.
15. Maintain proficiency in accounting software, Microsoft Office, point-of-sale software, and other business systems utilized by Northern Light Cannabis Company.
16. Prepare operational, financial, inventory, and administrative reports as requested.
17. Attend meetings, prepare meeting notes, track action items, and follow up on assigned projects.
18. Maintain confidentiality of employee, customer, financial, and business information.
19. Ensure administrative activities are completed in accordance with Tribal policies, company procedures, and applicable cannabis regulations.
20. Communicate effectively with the Director of Cannabis Operations, Operations Manager, Cultivation Manager, Accounting, Human Resources, vendors, and other departments.
21. Maintain a working knowledge of Northern Light Cannabis Company regulations, products, services, and operating procedures.
22. Attend required mandatory training sessions.
23. Perform other duties as assigned within the scope and complexity of this position.
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is regularly required to walk and stand with occasional sitting. Occasionally, the employee must squat, crawl, crouch, and kneel with frequent bending, climbing, balancing, and push/pulling. The employee is occasionally required to use hands for firm manipulation and reach with hands and arms above shoulder level.
POSITION REQUIREMENTS:
1. Must be a minimum of 21 years of age.
2. An Associates Degree in Cannabis Business, Business Administration or relevant field required.
3. A minimum of two years’ experience in a high-volume vertically integrated cannabis operation preferred.
4. A minimum of two years’ experience in office management or similar field required.
5. Must pass all required background checks.
6. Must have a valid license and be insurable under the Tribe’s policy.
7. Must be proficient in computer usage, including Microsoft applications.
8. To perform this position successfully, an individual must be able to satisfactorily perform each function listed under the essential functions and physical requirements categories of this position description.
9. Must have an excellent work history, including attendance.
