Strategic Accounts Project & Fulfillment Manag

Reports To: Chief Operating Officer

Location: Bristol, VA (Hybrid travel as required)

Position Summary

The Strategic Accounts Project & Fulfillment Manager serves as the primary operational owner for key customer accounts, overseeing projects from purchase order through shipment, installation, project completion, and ongoing account support.

This role is responsible for delivering an exceptional customer experience while coordinating internal teams, installation partners, and customers to ensure projects are completed on time, within scope, and in accordance with company quality standards. The successful candidate will manage multiple concurrent projects, build strong customer relationships, coordinate installation activities, and drive accountability among all stakeholders involved in project execution.

The ideal candidate is an experienced project or operations professional with strong business acumen, exceptional organizational skills, and a passion for delivering high-quality customer outcomes. This individual understands how to manage complex projects involving customers, logistics, contractors, and internal teams while maintaining a high level of professionalism and attention to detail.

Key Responsibilities

Strategic Account Ownership

Serve as the primary operational point of contact for assigned strategic customer accounts.
Build and maintain strong customer relationships throughout the project lifecycle.
Develop a thorough understanding of customer objectives, operational requirements, and installation expectations.
Provide proactive communication regarding project status, milestones, schedules, and deliverables.
Manage customer expectations and ensure a positive customer experience from project initiation through completion.
Coordinate post-installation follow-up activities to ensure customer satisfaction and successful project outcomes.

Project Management & Execution

Assume ownership of projects following handoff from sales or business development teams.
Develop and manage project schedules, milestones, and execution plans.
Coordinate activities across engineering, manufacturing, customer service, logistics, purchasing, and other internal departments.
Monitor project progress and proactively address risks, delays, and obstacles.
Manage multiple customer projects simultaneously while maintaining high levels of organization and responsiveness.
Facilitate project meetings and communicate priorities to all stakeholders.

Order Fulfillment & Logistics Coordination

Coordinate product availability, order processing, shipment scheduling, and delivery requirements.
Work closely with manufacturing, warehouse, and logistics teams to ensure timely project execution.
Track shipments and proactively resolve issues that may impact project schedules.
Ensure customers, contractors, and internal teams have the information necessary to support successful installations.
Maintain visibility and accountability throughout the fulfillment process from purchase order through final installation.

Installation & Contractor Management

Coordinate installation schedules with customers and approved installation partners.
Serve as the primary liaison between customers, internal teams, and third-party contractors.
Ensure installation partners understand project requirements, timelines, and company expectations.
Monitor installation progress and resolve issues that arise during project execution.
Conduct installation reviews and inspections to verify work meets company standards and customer expectations.
Balance customer requirements and contractor needs to drive successful project outcomes.
Support development and maintenance of installation standards and best practices.

Quality Assurance & Project Closeout

Verify installations are completed according to project requirements and company standards.
Ensure all required project documentation is complete, accurate, and properly maintained.
Coordinate project closeout activities and customer acceptance processes.
Resolve punch-list items and outstanding issues through final completion.
Maintain project records and audit documentation within company systems.
Identify opportunities to improve quality, consistency, and customer satisfaction across future projects.

Continuous Improvement

Identify opportunities to improve project execution, fulfillment processes, and customer experience.
Assist in developing standard operating procedures, implementation tools, and best practices.
Recommend process improvements that improve scalability, efficiency, and operational effectiveness.
Support a culture of accountability, continuous improvement, and customer focus.

Qualifications

Required Qualifications

Bachelor's degree or equivalent professional experience.
Minimum 5 years of experience in project management, operations management, fulfillment, implementation, construction coordination, facilities management, or a related field.
Proven ability to manage multiple concurrent projects and competing priorities.
Strong customer relationship management and communication skills.
Strong organizational and problem-solving abilities.
Experience coordinating cross-functional teams and external partners.
Proficiency with ERP systems, Microsoft Office, and project management tools.
Ability to travel periodically to customer locations and project sites.

Preferred Qualifications

Experience coordinating HVAC, mechanical, electrical, or building systems installations.
Experience managing contractors, subcontractors, or service providers.
Experience supporting healthcare, commercial, industrial, or agricultural customers.
Familiarity with construction, facilities, equipment installation, or technical product deployment environments.
Experience conducting site visits, installation reviews, or project inspections.
