Full Job Description

Intellectual Property Legal Assistant/Office Administrator

Heslin Rothenberg Farley & Mesiti, P.C. is seeking a Legal Assistant/Office Administrator to join our Rochester office. This position provides administrative and legal support to assigned professionals while helping manage the day-to-day operations of a professional patent and trademark law firm. The ideal candidate is dependable, organized, detail-oriented, and comfortable supporting both legal professionals and daily office needs.

Job Details: Full-time, on-site position. Salary range: $50,000-$60,000.

What You’ll Do:

Provide administrative and legal support, including proofreading, finalizing, and processing correspondence and related work products.
Handle front-office responsibilities such as greeting visitors, answering phones, taking messages, and managing incoming and outgoing mail.
Coordinate calendars, meetings, appointments, and absences for professional team members.
Provide technology support for office equipment, software, and system requirements.
Provide docketing information and deadline details to the Docketing Department in a timely and accurate manner.
Maintain organized physical and electronic files, assist with office supplies, and support general office operations.
Communicate professionally with attorneys, staff, clients, vendors, and visitors while helping maintain a positive and service-oriented office environment.

What We’re Looking For:

Bachelor’s degree preferred, or an equivalent combination of education and relevant administrative/legal support experience.
Two or more years of patent and trademark support experience preferred; training will be provided for a receptive candidate.
Strong organizational skills, accuracy, professionalism, discretion, and sound judgment.
Excellent written and verbal communication skills, including professional telephone etiquette.
Ability to work independently, manage competing priorities, meet deadlines, and support urgent work matters when needed.
Experience and comfort using standard office equipment, software, and systems.
