Full Job Description

Job Summary

The Testing Coordinator serves as the operational backbone for all psychological evaluation services at Green Country Psychology. This individual manages each psychological testing case end-to-end—from initial inquiry and intake through test administration, report proofing, and post-evaluation care connection.

While this role does not involve direct clinical assessment or psychometric testing (which is handled by licensed Psychologists and Psychological Technicians), the Testing Coordinator is fully responsible for the administrative case management, provider coordination, and workflow accountability necessary to deliver exceptional evaluation services.

Duties
Referral Management, Patient Onboarding & Scheduling

Intake & Onboarding: Manage prospective patient inquiries and testing referrals. Guide clients through the onboarding process with clarity, warmth, and professionalism.
Documentation Tracking: Distribute pre-evaluation documents, background questionnaires, and screening measures to clients. Diligently follow up to ensure all required paperwork is completed prior to the intake appointment.
Comprehensive Appointment Scheduling: Coordinate and schedule all stages of the testing process,

Data Management, EHR & Quality Control

Screening & Scoring Processing
Chart & Records Management: Scan chart materials, client documents, and raw testing records into the Electronic Health Record (EHR) system (Valant) and designated report-writing platforms. Ensure all data is accurately categorized and stored in compliance with HIPAA guidelines.
Report Review & Proofreading

Workflow Oversight & Provider Management

Timeline & Turnaround Management: Actively track testing cases through each phase of the pipeline to guarantee reports are completed and delivered within established practice timelines.
Weekly Case Management Meetings: Host and facilitate weekly case management meetings with evaluating psychologists, psychological technicians, and clinical trainees/interns to review active case statuses, clear bottlenecks, and assign priorities.
Provider Coordination & Problem Solving

Post-Evaluation Engagement & Continuity of Care

Post-Evaluation Follow-Up: Connect with clients after their feedback session to confirm receipt of final reports, evaluate their care experience, and facilitate transition into recommended ongoing services (e.g., psychotherapy, internal referrals, or community resources).
Internal Pipeline Integration: Collaborate with the therapy team to route testing clients into appropriate psychotherapy caseloads when ongoing therapy is indicated.

Qualifications

Required:

Experience: Minimum 2 years of administrative, case management, or coordinator experience within a clinical, healthcare, or mental health practice setting.
Strong work history
Technical Proficiency: Strong computer skills with experience navigating Electronic Health Record (EHR) systems (experience with Valant is a plus), secure file management software, and digital communication tools.
Communication Skills: Exceptional written and verbal communication skills, including strong grammar and editorial capabilities for report proofreading.
Organizational Mastery: Outstanding time-management, prioritization, and task-tracking abilities with meticulous attention to detail.

Preferred:

Bachelor’s degree in Psychology, Healthcare Administration, Social Work, Business Administration, or a related field.
Familiarity with psychological evaluation processes, clinical terminology, or psychometric tools.
Experience in clinical workflow management or leading case review meetings.
Background in client/patient navigation or intake management.

Scheduling and Working Conditions:

Hours: Part-Time (20 to 25 hours per week). Core working hours to be set based on clinic operational needs and case review scheduling.
Work Environment: On-site / Hybrid options as determined by practice leadership.
Compensation: Competitive hourly rate based on experience.

Pay: $16.00 - $18.00 per hour
