Position Summary

My NYC Dentist is seeking a highly motivated, patient-focused Treatment Coordinator to lead treatment plan presentation, financial counseling, and case acceptance. This role serves as the key bridge between the clinical team and the patient, ensuring every patient fully understands their recommended care, feels confident in moving forward, and has a clear plan for both treatment sequencing and payment.

The Treatment Coordinator plays a critical role in practice growth and patient satisfaction. This position requires a balance of sales ability, empathy, organization, and dental/insurance knowledge.

Key Responsibilities

Treatment Plan Presentation & Case Acceptance

Present clinical treatment plans clearly and confidently in patient-friendly language
Educate patients on recommended care, sequence of visits, and expected outcomes
Build trust, address objections, and guide patients to commit to treatment and schedule next steps

Financial Coordination & Payment Solutions

Calculate treatment fees and patient responsibility accurately
Present financial options clearly, including payment plans, deposits, and pre-payment options
Support financing workflows (CareCredit or similar) including patient applications and approvals

Insurance Support & Benefit Estimates

Work with the billing/insurance team to confirm eligibility, benefits, deductibles, and limitations
Provide accurate insurance estimates and help patients understand expected coverage and out-of-pocket costs
Communicate insurance policies clearly while setting appropriate expectations (coverage not guaranteed)
Patient Follow-Up & Documentation
Track unscheduled treatment plans and follow up with patients via phone/text/email
Maintain accurate documentation, notes, and financial agreements in the dental software system
Coordinate closely with doctors, hygiene, and front desk to ensure smooth patient handoffs
Required Qualifications
2+ years experience in dental front office / treatment coordination / case presentation
Strong working knowledge of common dental procedures, terminology, and treatment sequencing
Strong understanding of dental insurance concepts and patient estimates
Excellent communication skills (clear, confident, warm)
Comfort with presenting fees and asking for commitment (sales mindset)
Strong organizational skills and follow-up discipline
Preferred Qualifications
Experience with CareCredit or similar patient financing products
Familiarity with dental software (Dentrix / Open Dental)
Track record of increasing case acceptance and revenue

Job Type: Full-time

Pay: $70,000.00 - $80,000.00 per year
