Proactive & Responsible Billing & Accounts Payable Assistant

Position Overview
We are seeking a proactive and responsible professional to join our team as a Billing & Accounts Payable Assistant at our Grand Central, New York, NY office. The ideal candidate will demonstrate initiative, reliability, and a commitment to accuracy in all financial processes. This full-time, on-site position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

Process and review invoices, payments, and expense requests, ensuring accuracy and timeliness.
Reconcile bank transactions and accounts, identifying and resolving discrepancies.
Prepare and issue invoices to clients, maintaining accurate billing records.
Manage payments for vendors, office expenses, and jurisdictional obligations.
Maintain organized financial records and support month-end closing activities.
Assist with general billing operations and provide support in responding to client inquiries when necessary.

Qualifications

Authorization to work in the U.S. is required.
Fluency in English and Portuguese (required).
Good experience in billing, accounts payable, or a similar finance role.
Good experience with Microsoft Office 365, especially Microsoft Excel.
Experience with QuickBooks Online.
Strong attention to detail, organization, and ability to manage multiple tasks.
Clear communication skills and a proactive approach to problem-solving.

Location and Schedule

Midtown East, New York, NY.
9:00 AM to 6:00 PM, Monday to Friday, in person.
