Full Job Description

ABOUT THE ROLE

We are seeking an experienced Practice Manager to lead the day-to-day operations of a new outpatient medical practice in Brooklyn.

The Practice Manager will be responsible for staff performance, patient flow, administrative operations, revenue-cycle oversight, practice systems, vendors, and overall operational performance.

This person will join during the pre-opening period and lead operational readiness, including staffing, workflows, training, scheduling, EHR processes, supplies, and administrative systems.

After opening, the Practice Manager will lead daily operations, report to ownership, and work closely with the Medical Director, providers, clinical support staff, administrative staff, and outside service providers.

We are looking for a hands-on leader who takes responsibility, sets clear expectations, holds people accountable, identifies problems early, and follows through until they are resolved. This role requires strong leadership, initiative, sound judgment, and an entrepreneurial approach to building and improving the practice.

RESPONSIBILITIES

Practice Operations and Leadership

Lead the day-to-day operations of the practice.
Manage clinical support and administrative staff, including staffing, schedules, attendance, coverage, onboarding, training, performance, and accountability.
Set clear expectations and address performance, communication, and workflow problems promptly.
Oversee patient scheduling, registration, insurance verification, prior authorization, referrals, medical records, and patient flow.
Monitor front-office and back-office operations and correct problems when standards are not being met.
Work closely with the Medical Director and providers to keep clinical and administrative operations running efficiently.
Handle escalated patient concerns and operational problems.
Maintain appropriate staffing and coverage based on practice needs.
Identify opportunities to improve efficiency, patient service, staff performance, and workflow.
Take ownership of operational issues and make sure they are resolved.

Pre-Opening

Lead operational preparation for opening, including staffing plans, schedules, workflows, procedures, training, supplies, and opening checklists.
Participate in recruiting, interviewing, onboarding, and preparing staff for opening.
Oversee setup and implementation of the EHR and practice-management systems.
Make sure administrative systems, supplies, vendors, and other operational needs are ready for opening.
Identify gaps or delays that could affect operations and drive them to resolution.
Build practical systems and processes that can support the practice as it grows.

Revenue Cycle and Administrative Oversight

Oversee insurance verification, prior authorization, billing, collections, denials, and accounts receivable.
Monitor outside billing, credentialing, and other administrative service providers.
Review revenue-cycle and operational reports and take action when there are backlogs, delays, or performance problems.
Make sure staff and outside service providers follow through on outstanding issues.
Hold staff and vendors accountable for their responsibilities and deadlines.

Systems, Vendors, and Practice Support

Oversee supplies and inventory.
Manage vendor relationships involving office operations, IT, facilities, equipment service, supplies, and practice systems.
Establish and maintain practical policies, procedures, and checklists for daily operations.
Monitor key operating metrics and report significant issues and trends to ownership.
Maintain an organized, professional, and patient-focused practice.
Proactively identify operational problems and address them before they interfere with patient care or practice performance.

REQUIRED QUALIFICATIONS

At least 5 years of experience in outpatient medical-practice operations or management.
At least 3 years of experience directly supervising staff in a medical practice or outpatient healthcare setting.
Experience managing the day-to-day operations of a medical practice.
Strong leadership skills and the ability to set expectations, make decisions, address performance issues, and hold staff accountable.
A proactive approach to identifying and solving problems.
Strong sense of responsibility, ownership, and follow-through.
Strong knowledge of patient scheduling, patient flow, insurance verification, prior authorization, referrals, medical records, and front-office and back-office operations.
Knowledge of medical billing and revenue-cycle management, including collections, denials, and accounts receivable.
Experience with EHR and practice-management systems.
Experience managing staff schedules, coverage, training, and performance.
Strong organization, communication, judgment, and problem-solving skills.
Ability to work full time and onsite in Brooklyn.

PREFERRED QUALIFICATIONS

Experience managing a private or independent outpatient medical practice.
Experience supervising both clinical support and administrative staff.
Experience helping open, expand, relocate, or reorganize an outpatient medical practice.
Experience in a multi-provider, specialty, or procedure-based outpatient practice.
Experience overseeing an outside billing or revenue-cycle company.
Familiarity with provider credentialing and payer enrollment.
Experience managing vendors, supplies, facilities, or practice technology.
An entrepreneurial mindset and experience building or improving systems in a growing practice.
