Job Title: Purchasing Coordinator (Outside Processing)

Location: Germantown, WI

Company: Basic Metals, Inc.

About Us:

Basic Metals is an independent metal service center specializing in the processing and distribution of flat rolled metals.

Position Summary:

Supports day-to-day purchasing operations by maintaining accurate purchasing and inventory data, processing outside processing orders and purchase orders, and updating open purchase order status based on supplier acknowledgements. Ensures timely, accurate information flow between Purchasing, Production, Receiving, and suppliers.

Key Responsibilities (Main Role)

Create and manage outside processing (OSP) orders, including routing requirements, quantities, due dates, and coordination with internal stakeholders.
Enter and maintain purchasing data in the ERP/MRP system, including supplier information, pricing, lead times, and part/service details as assigned.

Additional Responsibilities

Create, issue, and maintain purchase orders (POs) in accordance with company procedures.
Update open PO status and promise dates based on supplier PO acknowledgements; follow up with suppliers as needed to resolve discrepancies.
Perform inventory adjustments as directed (cycle count variances, transactions corrections, and other inventory integrity activities) and document changes per policy.
Maintain accurate records of order confirmations, acknowledgements, and related purchasing documentation.
Communicate PO changes (dates, quantities, cancellations, expedites) to Purchasing team members and affected departments.
Support receiving/inspection and Accounts Payable with PO matching questions, discrepancies, and documentation requests.
Assist with supplier performance tracking and reporting (on-time delivery, acknowledgements, open order status) as assigned.
Participate in continuous improvement activities related to purchasing accuracy, lead time management, and data quality.

Qualifications

High school diploma or equivalent required; associate degree or coursework in business, supply chain, or related field preferred.
1+ year of experience in purchasing, materials, production control, or administrative support in a manufacturing environment preferred.
Strong data entry skills with high attention to detail and accuracy.
Proficiency with ERP/MRP systems and Microsoft Excel (sorting, filtering, basic formulas) and Outlook.
Ability to manage multiple priorities, meet deadlines, and maintain organized records.
Clear written and verbal communication skills; comfortable communicating with suppliers and internal teams.

Preferred Skills

Experience with outside processing/subcontract services purchasing.
Ability to read basic manufacturing documentation (part numbers, routings, revisions) and recognize common discrepancies.
Familiarity with inventory transactions (receipts, issues, transfers, adjustments) and cycle counting practices.
Customer-service mindset with strong follow-up and problem-solving skills.

Work Environment

Work is primarily performed in an office setting with regular interaction with the shop floor, receiving area, and suppliers. May require occasional time in a manufacturing environment.
