Job Overview

We are seeking a dynamic and detail-oriented HVAC Dispatcher / Purchasing Assistant to join our team. In this vital role, you will coordinate the scheduling and dispatching of HVAC service technicians, and ensure seamless communication across multiple departments. Your proactive approach will help optimize transportation planning, streamline logistics operations, and maintain excellent customer service standards. This position offers an exciting opportunity to utilize your organizational and communication skills in a fast-paced environment.

Responsibilities

Dispatching & Scheduling·

Schedule and dispatch HVAC and plumbing service technicians for maintenance, service, and installation calls·
Monitor technician routes and adjust schedules in real-time to maximize efficiency and customer satisfaction·
Communicate clearly with technicians, customers, and internal team members regarding appointment times and updates·
Prioritize emergency calls and ensure prompt response times·
Maintain accurate service records and job statuses in dispatch software

Customer Coordination·

Answer incoming service calls and assist customers with scheduling·
Provide customers with appointment confirmations, updates, and follow-ups·
Handle scheduling conflicts and resolve customer concerns professionally

Light Purchasing & Inventory Support·

Track purchase orders, pricing, and delivery status·
Assist in maintaining appropriate inventory levels for common parts and materials

Administrative Support·

Maintain organized records of work orders, invoices, and purchase orders·
Support technicians with job-related documentation and materials·
Assist with general office duties as needed

Qualifications:

Previous experience in dispatching, scheduling & administrative support (HVAC/plumbing industry preferred)·
Strong organizational and multitasking skills·
Excellent communication and customer service abilities·
Proficiency with computers, scheduling software, and Microsoft Office·
Ability to work in a fast-paced, team-oriented environment·
Basic knowledge of HVAC/plumbing parts and terminology is preferred
