GENERAL POSITION SUMMARY:
Performs clerical duties to process payroll data; maintains records in direct support of departmental programs; answers questions regarding departmental policies, procedures and services; does related work as required. Assists in maintaining digital and physical databases used to store, track and retrieve information. An employee in this position will be expected to become familiar with a variety of Road Department equipment, supplies, materials, and the associated terminology. An employee in this class uses discretion and judgment in the application of departmental guidelines and governing laws to perform assigned tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Provides assistance to employees in completing and processing required timekeeping forms; reviews timesheet data submitted by Road Department staff; enters timesheet data into the IRIS database; prepares semi-monthly payroll reports and submits to Deputy Roadmaster and Cost Accountant; maintains retained payroll reports.
2. Prepares preliminary reports using the IRIS system and other department resources and submits them for review by the Deputy Roadmaster and Cost Accountant; processes general ledger functions as directed by the Deputy Roadmaster and Cost Accountant.
3. Prepares and processes Weed Spray renewal applications, mails renewal notifications and approved permits, processes applications received; maintains Weed Spray permit system; organizes schedule and prepares daily log for spray crew.
4. Maintains Facility Permit indexes.
5. Intakes, completes, and distributes service requests to foreman for assignment; enters all information pertaining to work request into IRIS; maintains accurate records of service requests.
6. Tracks Road Department inventory by assisting Cost Accountant in preparing annual reports; maintains accurate inventory records on a routine basis.
7. Prepares outside billing for shop maintenance on non-County vehicles; tracks accounts receivable to ensure invoices for maintenance are paid.
8. Conducts special projects as assigned which are generally projects related to the financial or accounting activities of the County Road Department.

This is a non-supervisory position. Work is performed under supervision given the need for accuracy and compliance with mandatory timelines.

EDUCATION AND/OR EXPERIENCE:
High school graduation or equivalency plus extra course work in accounting related subjects; minimum of one year of experience performing responsible clerical and accounting work; or any satisfactory equivalent combination of experience and training.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
Position requires the ability to sit for long periods of time (10 hour work day) inputting data using a keyboard and computer. Manual dexterity is required for the operation of office equipment including, but not limited to, calculator and computer. Hearing is required sufficient to use a telephone and to communicate effectively with others. Visual acuity sufficient to use and view information on standard computer video display unit for long periods of time.
Work is primarily performed in an office setting, with occasional interaction with other agencies, County departments, and public entities.
Frequently required to use repetitive hand motions, sit, stand, walk, reach, bend, and to lift up to 20 pounds occasionally.
