Full Job Description

Payroll Specialist Job Summary

We are seeking a detail-oriented and dependable Payroll Specialist to join our team. In this role, you will be responsible for ensuring the accurate and timely processing of payroll while maintaining compliance with all federal, state, and local payroll regulations.

You will work closely with Human Resources, Accounting, and Finance to support payroll operations, employee benefits administration, and reporting. Key Responsibilities

Reconcile payroll data and resolve discrepancies to ensure data integrity.
Maintain payroll records, including journal entries, payroll adjustments, and timekeeping data.
Collaborate with Human Resources on employee onboarding, offboarding, benefits enrollment, and payroll-related changes.
Prepare payroll reports, tax documentation, and labor compliance reports for management.
Assist with payroll audits by providing required documentation and supporting records.
Ensure compliance with all applicable federal, state, and local payroll, tax, wage, and labor laws.
Respond to employee payroll inquiries in a timely and professional manner.
Maintain strict confidentiality of employee and payroll information.
Identify opportunities to improve payroll processes and efficiencies.

Qualifications

1–2 years of experience supporting a payroll department.
Experience using payroll systems such as Workday, ADP, Paychex, Kronos, UKG (UltiPro), or similar HRIS/payroll platforms.
Strong understanding of payroll processing, payroll taxes, employment laws, and labor regulations.
Experience with data entry, payroll reconciliation, journal entries, and basic bookkeeping.
High level of accuracy and exceptional attention to detail.
Strong organizational, analytical, and problem-solving skills.
Excellent written and verbal communication skills.
Ability to manage confidential information with discretion.
Proficient in Microsoft Office, includingExcel, Outlook, and Word.
Ability to work independently while also contributing effectively as part of a team.
Flexible and adaptable in a fast-paced work environment.

Preferred Qualifications

Bilingual (English/Spanish or other language) is a plus.
Experience working in a union environment is preferred.
Experience with time and attendance systems is a plus.

Pay: $28.85 - $31.25 per hour

Experience:

Payroll: 2 years (Required)
Data Entry: 3 years (Required)
Human resources: 1 year (Preferred)
