Role Purpose
The Executive Community Lead is responsible for building the senior-level audiences that make Masterclassing events successful and managing the detailed processes required to deliver an assigned portfolio of events across North America.
This is not a traditional event production role. The majority of the work happens well before the event itself and centers on delegate acquisition, research, outreach, relationship building, follow-up, data management, and cross-functional coordination.
A major focus of the role is proactively identifying and engaging qualified senior professionals from leading B2C brands and converting that outreach into confirmed event attendance. You will own registration targets for your events and be expected to consistently build and manage a strong pipeline through proactive outreach and follow-up, including initiating conversations with professionals you have not previously engaged with.
You will also work closely with colleagues across Sales, Marketing, Data, and Operations. Strong communication, sound judgment, and a professional demeanor are essential. You should be comfortable providing clear updates, asking questions when needed, collaborating across teams, and representing Masterclassing professionally with both internal stakeholders and senior external audiences.
Success in this role requires someone who is target-driven, highly organized, accurate, proactive, and professional, with the ability to balance high-volume outreach with meticulous follow-through.
Core Responsibilities
Delegate Acquisition & Audience Development
- Manage delegate acquisition and the attendee journey for a portfolio of 20+ annual events across North America, typically hosting 25-35 senior-level delegates per event.
- Conduct ongoing research to identify qualified senior professionals from leading B2C brands who align with each event's audience criteria.
- Proactively engage prospective delegates through phone calls, email, SMS, LinkedIn, and other outreach channels, with the confidence to initiate conversations and follow up consistently.
- Individual delegate acquisition and event attendance targets are a key measure of performance in this role.
- Build and maintain a healthy pipeline of prospective attendees and consistently follow up to convert interest into confirmed registrations.
- Monitor registration performance against targets and proactively adjust outreach volume, targeting, messaging, and strategy when needed.
- Develop targeted prospecting strategies based on sponsor requirements, event themes, historical performance, and collaboration with Marketing and Data.
- Build relationships with delegates over time to encourage repeat attendance and strengthen the wider Masterclassing community.
Data, Administration & Process Accuracy
- Maintain accurate, complete, and up-to-date information across HubSpot, event trackers, registration systems, and internal documentation.
- Accurately track prospecting activity, registrations, confirmations, cancellations, attendance, and other key delegate information.
- Carefully vet registrations against established eligibility criteria.
- Follow internal processes consistently and complete administrative tasks accurately and on time.
- Regularly review your own work to identify missing information, errors, or inconsistencies before they impact other teams or event delivery.
- Manage multiple event timelines, pipelines, and deadlines simultaneously while maintaining a high standard of accuracy and organization.
Event & Delegate Management
- Own the delegate journey for assigned events from initial outreach through post-event follow-up.
- Manage delegate communications, registration vetting, confirmations, cancellations, waitlists, and final attendance tracking.
- Source, pitch, secure, and coordinate senior-level keynote speakers from leading B2C brands.
- Ensure keynote materials, deadlines, event information, and logistical requirements are accurately tracked and completed.
- Travel to assigned events across the U.S. and Canada and oversee the delegate experience on-site.
- Confidently represent Masterclassing at live events, including welcoming attendees, introducing speakers, facilitating Q&A sessions, and helping maintain the event agenda.
- Respond professionally and calmly to last-minute changes or issues.
Internal Collaboration & Stakeholder Communication
- Work closely with Sales, Marketing, Data, and Operations throughout the planning and delivery of each event.
- Provide clear, accurate, and timely updates on delegate acquisition performance, event readiness, outstanding actions, and potential risks.
- Communicate professionally with colleagues and external stakeholders across email, calls, meetings, and in-person interactions.
- Understand how your work impacts other teams and ensure information, data, and updates are provided when required.
- Take ownership of assigned responsibilities while escalating questions, concerns, or potential issues early.
- Receive and act on feedback professionally, adapting your approach as business needs and priorities evolve.

Qualifications & Skills

- Strong administrative skills and demonstrated attention to data accuracy.

- Ability to manage multiple priorities and deadlines independently.
- Experience using CRM systems, with HubSpot experience preferred.
- Proficient with Google Workspace and comfortable learning new systems and technology.
- Previous experience is beneficial but not essential. We are particularly interested in candidates who demonstrate strong communication skills, attention to detail, professionalism, initiative, and a willingness to learn.
- Must be able to travel regularly to events across the U.S. and Canada, including occasional early mornings, evenings, and travel outside standard working hours.
