Full Job Description

We are seeking a dedicated and highly organized Surgical Coordinator to join our team. This role requires a professional with extensive experience in handling Commercial Insurance, No-Fault, and Workers' Compensation (WCB) cases. The ideal candidate will be responsible for coordinating all aspects of the surgical process, ensuring timely submissions for surgery authorization, verifying insurance, managing pre-surgical clearances, and facilitating post-surgical care. The Surgical Coordinator will also handle booking sheets, communicate effectively with patients and medical professionals, and manage complex case follow-ups to ensure all surgical procedures are properly scheduled and executed.

Key Responsibilities:

Surgical Scheduling & Authorization:
Submit Pre-Authorization Requests (PARs) for surgeries, medications, and durable medical equipment (DME) via the WCB portal.
Coordinate and verify insurance coverage prior to scheduling surgery.
Once surgery is indicated and the patient agrees to proceed, submit the booking sheet to the appropriate hospital or surgical center without delay.
For Workers' Compensation (WC) cases, submit the booking sheet to the surgical center after WCB approval and patient agreement.
Pre-Surgical Coordination & Clearance:
Contact patients to ensure all necessary pre-surgical testing and medical clearance are completed at least two weeks before surgery.
Review medical clearances to ensure all pre-surgical testing requests are completed in full.
Collect emergency contact and pharmacy information from patients prior to surgery.
Notify manager, attorneys, and referral sources if a patient is non-compliant with pre-surgical requirements.
Surgical Documentation & Reporting:
Retrieve operative photos from the surgeon or physician assistant (PA) to submit to Apex for generating the operative report.
Once the operative report is complete, submit it for billing purposes.
Post-Surgical Care:
For total replacement surgeries, coordinate home care nursing and physical therapy services for patients post-surgery.
Patient Communication & Follow-Up:
Maintain close communication with patients to ensure they are informed about their surgical dates, authorization status, and pre-surgical requirements.
Ensure all necessary documents and approvals are in place before surgery is scheduled.
Case Management & Escalation:
Ensure all steps are completed for successful surgery scheduling, from insurance verification to patient compliance with pre-surgical testing and clearance.
Act as a liaison between the patient, healthcare providers, and insurance companies.
Escalate issues to Level 2-3 if insurance denials or complications arise during the process.
