Job Overview

We are seeking a dynamic and highly organized Executive Assistant to support our CEO in driving the company's strategic initiatives and ensuring seamless daily operations. This vital role requires a proactive professional with exceptional administrative skills, a keen eye for detail, and the ability to manage multiple priorities with confidence. As the right hand to our executive leadership, you will facilitate efficient communication, coordinate complex schedules, and assist with project management to help propel our organization forward. Your energetic approach and commitment to excellence will be instrumental in creating a productive and positive work environment.

Responsibilities

Manage and coordinate the CEO’s calendar, including scheduling meetings, appointments, and business travel arrangements to optimize their time effectively
Prepare and organize internal communication materials, reports, presentations, and correspondence with precision and professionalism
Plan, organize, and execute company events, meetings, and conferences from logistics to follow-up tasks
Handle phone etiquette with professionalism while managing multi-line phone systems and responding promptly to inquiries
Oversee office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory
Assist with project coordination by tracking deadlines, preparing agendas, taking meeting minutes, and ensuring timely follow-up on action items
Support executive administrative functions including proofreading documents, transcription of notes or recordings, and managing confidential information securely

Requirements

Proven experience working as an executive assistant or personal assistant supporting C-suite executives in a fast-paced environment
Strong organizational skills with the ability to prioritize tasks efficiently across multiple projects
Excellent written and verbal communication skills coupled with high-level phone etiquette
Proficiency in productivity software such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and video conferencing tools like Zoom or Microsoft Teams
Technical proficiency in calendar management tools like Microsoft Outlook Calendar and familiarity with DocuSign for document signing processes
Experience with event planning, business travel arrangements, bookkeeping (QuickBooks), and office management procedures
Ability to handle confidential information discreetly while demonstrating exceptional attention to detail
Strong typing skills along with data entry experience; capable of proofreading and transcription tasks accurately
Knowledge of clerical practices including filing systems, front desk operations, multi-line phone systems, and customer service standards
