Full Job Description

The Front Desk Administrator manages membership services, attendance tracking, communication with families, and overall administrative support. This position plays a key role in safety, customer service, data entry, and supporting program operations.

Responsibilities:

Front Desk Responsibilities

Greet and assist members, families, and visitors in a professional and friendly manner
Handle all questions, information requests, and membership-related concerns
Address and escalate parent concerns regarding programs when necessary
Monitor and respond to front desk emails and voicemail in a timely manner
Support positive public relations and customer service standards

Membership Administration

Process membership applications, renewals, and resignations in FUNDER Systems (DYCD, Salesforce)
Maintain and update accurate membership records
Collect data, track membership statistics, and prepare required reports
Coordinate with the accounting department to track membership revenue
Assist with recruitment efforts by sharing program information and outreach materials

Attendance & Data Systems

Enter daily attendance into the Funder System accurately and on time
Run all required program reports
Maintain organized digital and physical filing systems
Enter and document incident reports as required

Inventory Tracking

Maintain supply inventory
Monitor office supplies, forms, marketing materials, and program resources
Conduct routine inventory checks and report shortages to leadership
Assist with ordering and organizing supplies to ensure smooth daily operations
Keep storage areas organized and properly documented

Communication & Outreach

Prepare and distribute monthly calendars, flyers, and recruitment materials to families
Assist with member communications and announcements
Support marketing and outreach initiatives to recruit new members

Safety & Operations

Greet and assist members, families, and visitors in a professional and friendly manner
Handle all questions, information requests, and membership-related concerns
Address and escalate parent concerns regarding programs when necessary
Monitor and respond to front desk emails and voicemail in a timely manner
Support positive public relations and customer service standards
Ability to work flexible hours, including evenings and weekends, as needed for events and programs.
After-School Program, weekdays, may be required to work Saturday Program

General Administrative Support

Perform daily office tasks such as mailing, receiving supplies, organizing documents, and updating leadership
Support event coordination for members and prospective families
Assist with operational tasks to ensure smooth program delivery

Skill Requirement:

A high school diploma or equivalent is generally the minimum required to work as a membership administrator.
Program, prepare, and perform activities required to be performed every day in offices, such as mailing, receiving supplies, updating managers and employees, and keeping operations running smoothly.
Ensure good service for all members by monitoring the mailbox on a regular basis, by resolving membership issues that arise, and by advising members on benefits and renewals.
Oversee and carry out several tasks in the membership administration process, such as reporting membership numbers
Carry out administrative work and establish public relations.
Carry out assessment and recruitment of members.
Add and update membership information and analyze and report on statistical membership information. Strong organizational and time management skills
Ability to manage multiple tasks in a fast-paced environment
Proficiency in data entry and administrative systems
Strong communication and customer service skills
Ability to maintain confidentiality and professionalism at all times
