This vital role combines office management expertise with personal assistance, ensuring smooth daily operations and supporting executive needs. You will be the backbone of our office environment, coordinating administrative functions, managing schedules, overseeing vendor relationships, and facilitating event planning. Your proactive approach and exceptional communication skills will help foster an efficient, welcoming workspace where productivity thrives. This paid position offers an exciting opportunity to develop your leadership and organizational talents within a vibrant professional setting.

Duties

Oversee daily office operations, including front desk management, multi-line phone systems, and clerical tasks such as filing and bookkeeping
Manage calendars, schedule appointments, meetings, and coordinate travel arrangements for executives and staff
Supervise administrative staff and provide training & development to enhance team performance
Handle vendor management by negotiating contracts, processing invoices via QuickBooks, and maintaining positive vendor relationships
Plan and coordinate company events, meetings, and team-building activities to boost morale and collaboration
Assist with human resources functions including onboarding new employees, maintaining personnel records, and supporting payroll processing
Maintain medical office management procedures if applicable, ensuring compliance with health regulations and efficient patient or client flow

Requirements

Proven experience in office management or administrative roles with strong clerical background
Supervising experience with the ability to lead a team effectively
Proficiency in QuickBooks for bookkeeping, payroll, and budgeting tasks
Excellent organizational skills with keen attention to detail in filing, calendar management, and document handling
Strong communication skills paired with professional phone etiquette for front desk interactions and client communications
Experience in event planning and vendor management to coordinate logistics seamlessly
Knowledge of human resources processes including training & development practices
Ability to manage multiple priorities efficiently in a fast-paced environment
Familiarity with medical office management or healthcare settings is a plus
