Full Job Description

We are seeking an experienced, organized, and dependable Front Office Manager to oversee the daily front-office operations of our busy ophthalmology practice. This position plays a key leadership role in ensuring an efficient patient experience, supporting front-office staff, and maintaining smooth communication between patients, providers, clinical staff, and management.

Key Responsibilities

Oversee the daily operations and workflow of the front office, ensuring appropriate coverage and efficient patient flow throughout the day.
Supervise, train, coach, and support front-office employees, including reception, check-in/check-out, scheduling, and other administrative staff.
Serve as the primary point of contact for front-office staff regarding questions, workflow concerns, scheduling issues, and patient situations.
Monitor employee attendance, punctuality, performance, productivity, and adherence to established office policies and procedures.
Assist with onboarding and training new front-office employees and provide continued education and coaching as needed.
Manage daily staff assignments and coordinate coverage for PTO, call-outs, lunches, and unexpected staffing needs.
Oversee patient check-in and check-out processes to ensure demographic and insurance information is accurately collected and updated.
Ensure insurance cards, identification, referrals, authorizations, and other required documentation are obtained when applicable.
Overseeing surgery collections and insurance verification
Monitor collection of patient balances, copays, deductibles, coinsurance, and other amounts due at the time of service.
Oversee appointment scheduling and help maintain efficient provider schedules while following established scheduling protocols and appointment templates.
Identify and address scheduling errors, duplicate appointments, inappropriate appointment types, and other issues that could disrupt clinic flow.
Assist staff with difficult or escalated patient interactions and work toward professional and appropriate resolutions.
Respond to patient concerns and complaints while maintaining excellent customer service and protecting patient confidentiality.
Monitor incoming calls, messages, and front-office communication to ensure patients receive timely and professional assistance.
Coordinate closely with clinical leadership, billing staff, providers, and Practice Management regarding operational concerns.
Ensure front-office staff maintain HIPAA compliance and follow all practice policies regarding patient privacy and confidentiality.
Monitor front-office organization, cleanliness, professionalism, and readiness for each clinic day.
Participate in staff meetings and communicate workflow changes, policies, scheduling updates, and other important information to the front-office team.
Identify opportunities to improve front-office efficiency, patient satisfaction, scheduling processes, and overall workflow.
Assist with administrative projects, reporting, and other operational responsibilities as assigned by the Practice Manager.
Lead by example by maintaining a professional, positive, accountable, and team-oriented work environment.

Ideal Candidate

The ideal candidate is a strong communicator and problem-solver who is comfortable managing employees while also being willing to step in and assist with daily front-office duties when needed. This individual should be highly organized, dependable, able to prioritize multiple responsibilities, and comfortable working in a fast-paced medical practice.

Previous medical office and supervisory/management experience is strongly preferred. Experience in ophthalmology, optometry, or another high-volume specialty medical practice is a plus.

Pay: $24.00 - $25.00 per hour
