The Bookkeeper is responsible for maintaining accurate financial records and supporting the day-to-day accounting operations of the agency. This position performs bookkeeping functions including accounts payable, accounts receivable, reconciliations, financial data entry, and record maintenance in accordance with agency policies, nonprofit accounting standards, and applicable regulations.
The Bookkeeper works collaboratively with the Finance Department and agency leadership to ensure timely and accurate financial processing and reporting.
Essential Functions:
Financial Transactions and Recordkeeping:

Maintain accurate financial records and accounting entries.

Process accounts payable, including invoice verification and payment preparation.

Assist with accounts receivable and tracking of incoming payments.

Complete bank, credit card, and account reconciliations.

Maintain vendor files and supporting financial documentation.
-
Prepare and enter journal entries as assigned.

Assist with month-end and year-end closing activities.

Maintain organized financial records and filing systems.
Reporting and Compliance:

Prepare routine financial reports and spreadsheets.

Assist with audit preparation and document gathering.

Support grant and program expense tracking.

Ensure compliance with agency financial policies and procedures.

Maintain records in accordance with document retention requirements.
Administrative and Finance Support:

Respond to vendor and staff inquiries related to invoices, payments, and financial documentation.

Support finance team projects and operational initiatives.

Participate in meetings and trainings as required.

Perform other duties as assigned.

Must have reliable transportation and be able to travel throughout assigned region, as well as other agency regions as needed.
Qualifications:

Associate degree in Accounting, Business, Finance, or related field preferred.

Minimum of 2 years of bookkeeping or accounting experience required.

Nonprofit accounting experience preferred.

Experience with accounting software and Microsoft Excel required.

Strong attention to detail and organizational skills.

Ability to maintain confidentiality and exercise professional judgment.

Ability to manage multiple priorities and deadlines.

Knowledge of general bookkeeping and accounting principles.

Understanding of accounts payable, receivable, reconciliations, and financial recordkeeping.

Ability to analyze and organize financial information accurately.

Strong written and verbal communication skills.

Ability to work independently and collaboratively.

Strong customer service orientation.

Valid and insurable Maine driver’s license required.

Ability to pass required background checks, to include: Adult/Child Protective Services; criminal history; OIG Exclusion list; National Sex Offender Registry; Bureau of Motor Vehicles record; and Maine CNA Registry.
