Customer Service Specialist

Job Summary: The Customer Service Specialist is responsible for facilitating business functions and providing clerical support to clients and internal stakeholders.

Job Qualifications: Candidates must have applicable experience and the skills necessary to do the job. Additional detail regarding skills and anticipated day-to-day responsibilities is listed below.

Job Type: Full Time

Education: High School Graduate (college degree preferred)

Skills:

Excellent verbal and written communication skills
Detail-oriented
Excellent organizational and time-management skills
Proficient in Microsoft Office (Outlook, Excel, etc.)
Works well with a variety of personalities while demonstrating a high degree of situational awareness
Ability to meet deadlines for new and follow-up tasks
Ability to transition between tasks as needed while demonstrating flexibility and ability to maintain professionalism in stressful situations
Experience in healthcare environments (preferred, not required)

Transportation: Reliable transportation and valid & current driver’s license and auto insurance.

Environmental and Working Conditions: Works in a routine office environment. Noise level may be moderately high. Ability to work a flexible schedule and extended hours on an occasional basis. Ability to travel locally and some exposure to inclement weather.

Physical and Mental Effort: Prolonged sitting and some standing are required. Occasional need to lift, pull, carry and push items weighing up to 50 pounds to carry laptop computer/peripherals and meeting materials. Requires working under some stressful conditions to meet deadlines and agency needs. Requires excellent problem-solving skills.

Essential Functions:

Responsible for support activities that include answering phones, data entry, and general office support activities (company roster, trackers, & inventory)
Supports and assists with management of administrative changes to online policy manuals, including validation of content-related links
Provides portal functionality support to policy manual customers in support of manual specialist and content team; includes ability to demonstrate how to maneuver through portal as trained
Coordinates customer or prospective customer needs for potential services and/or support by providing responses, connecting them to the appropriate staff member, documenting call summaries, and generating follow-up activity for additional staff members and appropriate tracking in designated systems and tracking tools
Assists managers with completion and communication of client engagement documents; includes maintenance and support of tracking tools with responsibility for providing updates
Provides effective communication to clients, prospective clients, and team members while maintaining confidentiality and professionalism
Provides a high level of customer service with the ability to problem-solve, manage appropriate responses to facilitate resolution, and assist in resolving questions or concerns with team coordination as needed
Provides back-up support to other back-office functions through cross-training and assistance as requested; includes maintenance of team information, shipment of materials, and similar tasks
Provides back-up clerical support that may include assisting with maintenance of consultant schedules, service confirmations, and processing payments
Promotes the corporate philosophy and mission by presenting a positive image to internal and external stakeholders. Uses effective customer service skills when directing calls and assisting others.
Performs other duties as required
