About the role
The Data Entry Clerk plays a key role in the successful follow-up and closeout of every book fair we serve. This position accurately enters, reviews, and manages information across multiple systems; verifies that numbers and records agree; recognizes patterns and inconsistencies; and contacts customers or team members by phone when additional information is needed.
The ideal candidate has exceptional attention to detail, enjoys repetitive and process-driven work, and takes satisfaction in completing a high volume of tasks accurately. This person is an action-oriented doer who enjoys learning, responds well to feedback, and uses mistakes as opportunities to improve.
Reports to: Accounting Manager
Status: Full-Time, Salaried Non-exempt
Essential Duties and Responsibilities
The essential functions include, but are not limited to:
- Enter and update information in company databases, spreadsheets, accounting systems, and other digital platforms.
- Review and verify numbers, totals, dates, customer information, and supporting documentation for accuracy and completeness.
- Compare information across multiple sources and identify patterns, discrepancies, missing information, or unusual results.
- Follow established procedures to complete the financial and administrative closeout of book fairs.
- Make and receive phone calls with schools, customers, and team members to obtain missing information, clarify discrepancies, and resolve routine questions.
- Maintain accurate, organized electronic and physical records.
- Generate reports and retrieve information as requested.
- Assist with filing, scanning, document management, and other administrative tasks.
- Communicate clearly and promptly when information is incomplete or appears incorrect.
- Manage repetitive tasks while maintaining consistent accuracy, focus, and productivity.
- Learn new processes and software and apply feedback to improve performance.
- Perform other duties as assigned based on business needs.
Success in This Role
A successful Data Entry Clerk consistently produces accurate work, follows through on assignments, and helps ensure every book fair is closed out correctly and on time. Success includes:

Qualifications
- Exceptional attention to detail and commitment to accuracy.
- Strong comfort with numbers and ability to verify calculations, totals, and data across systems.
- Ability to recognize patterns, inconsistencies, and missing information.
- Comfort making and receiving frequent phone calls.
- Action-oriented work style with the ability to complete a high volume of tasks.
- Ability to remain focused and accurate while performing repetitive tasks.
- Enjoyment of learning new systems, processes, and responsibilities.
- Ability to receive feedback, learn from mistakes, and make lasting improvements.
- Excellent organizational and time-management skills.
- Proficiency with Microsoft Excel; ability to learn new software quickly.
- Strong typing and general computer skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Prior data-entry or administrative experience preferred.
- Experience with QuickBooks Online is a plus.
Compensation and Benefits
- Full-time, in person position (40 hours per week)
- Starting salary: $28,000 - $32,000 annually
- Performance-based salary reviews and advancement opportunities
- Paid Time Off: 96 hours annually, accrued at 4 hours per pay period
