Position Overview
ARK Retail is seeking a dependable, organized, and detail-oriented Bookkeeper / Administrative Assistant to support our accounting, administrative, and day-to-day business operations.
This position is ideal for someone who is comfortable working with financial records, invoices, vendors, payroll documentation, and general office administration. Because our company manages multiple locations, vendors, and ongoing development projects, accuracy and organization are extremely important.
Key Responsibilities
Bookkeeping & Accounting Support
- Maintain accurate and organized financial records
- Enter and categorize expenses and transactions
- Record and track accounts payable and accounts receivable
- Process and organize vendor invoices
- Reconcile bank and credit card transactions
- Track payments made to vendors and contractors
- Assist with payroll records, timesheets, and employee payment documentation
- Maintain receipts, invoices, purchase orders, and supporting documentation
- Help prepare financial reports and expense summaries for management
- Track expenses by property, location, company, or project
- Assist with month-end bookkeeping and reconciliation
- Work with management, accountants, and CPAs when financial information or documentation is needed
- Identify discrepancies, duplicate charges, missing documentation, or unusual transactions and bring them to management's attention
Administrative Support
- Maintain organized digital and physical company records
- Answer and organize emails, phone calls, and correspondence as needed
- Communicate with vendors, contractors, employees, and service providers
- Request invoices, statements, W-9s, insurance certificates, and other documentation
- Maintain vendor and contractor information
- Assist with contracts, permits, licenses, and business documentation
- Organize files for multiple properties and business entities
- Prepare spreadsheets, reports, and other documents for management
- Assist management with scheduling, follow-ups, and general administrative tasks
- Track outstanding items and follow up to ensure deadlines are met
Qualifications
- Previous bookkeeping, accounting assistant, office management, or administrative experience preferred
- Experience with QuickBooks or similar accounting software strongly preferred
- Proficient with Microsoft Excel, Word, email, and basic office software
- Strong organizational and recordkeeping skills
- Excellent attention to detail
- Comfortable working with numbers and financial information
- Ability to handle confidential business and financial information professionally
- Strong written and verbal communication skills
- Ability to manage multiple companies, projects, vendors, and priorities simultaneously
- Able to work independently and follow through on assigned responsibilities
- Must be dependable, punctual, and accountable
What We're Looking For
We are looking for someone who does more than simply enter transactions. The right candidate will take ownership of keeping our records organized and accurate, notice when something does not look right, follow up on missing information, and help management maintain a clear picture of the company's financial and administrative activity.
Experience working with retail operations, construction/development, property management, convenience stores, restaurants, or multi-location businesses is a plus.
Compensation
Competitive compensation based on experience and qualifications.
