Job Overview

All About Kids LLC is seeking a dependable and highly organized Remote Scheduling Coordinator to coordinate supervised parenting-time visits throughout the Phoenix metropolitan area and surrounding communities.

This is an administrative scheduling position. You will not supervise parenting-time visits. Your primary responsibility will be coordinating schedules between parents, child placements, and Case Aides and ensuring everyone receives accurate and timely visit information.

Applicants must have strong knowledge of Phoenix, Mesa, Chandler, Gilbert, Tempe, Scottsdale, Glendale, Peoria, Surprise, Avondale, Goodyear, and surrounding communities. Familiarity with Valley freeways, travel times, and appropriate public meeting locations is important.

Duties

Review assigned cases in agency scheduling system.
Understand each case’s required number of visits, approved schedule, location, transportation expectations, and special instructions.
Contact parents and child placements to determine availability.
Coordinate with foster homes, kinship placements, group homes, and other approved caregivers.
Identify approved public meeting locations that are reasonable for the parent, placement, and Case Aide.
Assign visits to available Case Aides.
Provide Case Aides with complete visit details, including the date, time, location, transportation plan, contact information, and case-specific instructions.
Confirm scheduled visits with the parent and placement the day before the visit.
Communicate cancellations, transportation problems, placement conflicts, and scheduling changes promptly.
Document all telephone calls, messages, emails, confirmations, cancellations, and scheduling attempts.
Document weekly scheduling efforts for every assigned case, including cases in which a visit could not be scheduled.
Maintain professional communication with parents, placements, Case Aides, supervisors, and case-team members.
Manage assigned cases from the initial scheduling attempt through final confirmation.

Experience

Behavioral health
Healthcare scheduling
Transportation coordination
Administrative support
Customer service
Comfortable working independently from home
Familiar with the Phoenix metropolitan area
Comfortable making frequent telephone calls
Able to communicate professionally by telephone, text, and email
Able to coordinate multiple families, Case Aides, locations, and schedules
Persistent with follow-up and problem-solving
Able to document every scheduling attempt accurately
Professional when managing difficult or changing circumstances
Able to protect confidential child and family information
Comfortable learning online scheduling and case-management systems
Available to communicate throughout the workday as scheduling needs arise

This is a remote, performance-based scheduling opportunity that requires consistent follow-up and ownership. Making one telephone call or sending one message may not be enough to coordinate a visit successfully.

A scheduler may need to coordinate a parent in Mesa, a placement in Glendale, and a Case Aide traveling from Phoenix while identifying an appropriate meeting location and time.

We are seeking someone who enjoys solving scheduling problems and making sure everyone knows where they need to be, when they need to be there, and what is expected.

Pay: $20.00 - $25.00 per hour
