As our company continues to grow, we are looking for a highly organized, motivated, and results-driven Operations Dispatcher / Operations Coordinator to help oversee the daily coordination of field operations.
This is a leadership position that plays a critical role in scheduling, labor management, customer communication, subcontractor coordination, payroll tracking, and overall operational efficiency. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment while holding themselves and others accountable.
Position Summary
The Operations Dispatcher / Operations Coordinator is responsible for coordinating daily field operations by scheduling crews, assigning trucks and equipment, tracking labor hours, supporting payroll, maintaining communication with customers and field personnel, coordinating subcontractors, and ensuring projects are completed safely, efficiently, and on schedule.
This individual serves as the communication hub between the office, field crews, customers, vendors, subcontractors, and management while continuously looking for ways to improve productivity and operational performance.
Primary Responsibilities Daily Scheduling & Dispatch
- Develop and manage daily crew schedules.
- Assign crews, trucks, trailers, and equipment to projects.
- Coordinate job sequencing to maximize production and efficiency.
- Ensure all work orders are complete before crews are dispatched.
- Verify crews receive all necessary materials, plans, permits, and job information before leaving the yard.
- Coordinate emergency service requests and schedule adjustments.
- Minimize downtime by efficiently assigning manpower and equipment.
- Maintain real-time communication with field supervisors throughout the day.
Field Operations Coordination
- Monitor project progress and estimated completion times.
- Track production against estimated labor hours.
- Document delays, weather impacts, equipment issues, customer requests, and production concerns.
- Coordinate additional manpower, materials, or equipment as needed.
- Support supervisors in resolving operational issues quickly.
- Assist management in improving operational efficiency and workflow.
- Ensure projects remain on schedule whenever possible.
Payroll & Labor Cost Management
- Review and track employee timecards daily for accuracy and completeness.
- Monitor payroll hours to ensure labor costs remain within company-established goals and budgets.
- Track overtime and identify opportunities to reduce unnecessary labor expenses.
- Verify employees are charged to the correct jobs and departments.
- Work closely with supervisors to improve crew productivity and labor utilization.
- Assist payroll by verifying hours, attendance, job assignments, and daily reports.
- Prepare weekly labor reports for management.
- Identify scheduling inefficiencies that negatively impact payroll costs.
Customer Communication
- Communicate professionally with customers regarding project scheduling and updates.
- Confirm project dates and expected arrival times.
- Notify customers of schedule changes or delays.
- Address customer concerns promptly and professionally.
- Document customer communications and report significant issues to management.
- Deliver exceptional customer service while representing the company professionally.
Vendor & Material Coordination
- Coordinate material deliveries and pickups.
- Communicate with suppliers regarding delivery schedules.
- Assist with inventory coordination as needed.
- Ensure materials are available before crews arrive at jobsites.
- Coordinate equipment rentals when necessary.
Subcontractor Network Development & Coordination
- Build, develop, and maintain strong professional relationships with qualified subcontractors.
- Continuously recruit and expand the company's network of reliable subcontractors.
- Maintain an organized database of approved subcontractors, including licenses, insurance, specialties, service areas, and availability.
- Coordinate subcontractor scheduling during periods of high workload or when additional manpower is required.
- Obtain pricing and availability from subcontractors as requested.
- Monitor subcontractor performance, quality of work, professionalism, and responsiveness.
- Ensure subcontractors comply with company policies, contractual requirements, and safety expectations.
- Work with management to ensure subcontractors are utilized strategically to support production goals while maintaining quality standards.
Fleet & Equipment Coordination
- Track truck assignments.
- Monitor equipment availability.
- Coordinate preventative maintenance schedules.
- Report vehicle or equipment issues immediately.
- Assist with scheduling repairs to minimize downtime.
- Ensure equipment assignments support efficient field operations.
Safety & Compliance Support
- Coordinate weekly safety meetings and toolbox talks.
- Ensure crews receive safety information before leaving the yard.
- Maintain safety documentation and training records.
- Report accidents, incidents, and near misses immediately.
- Support compliance with all company safety policies and Cal/OSHA requirements.
Administrative Responsibilities
- Maintain accurate dispatch logs and daily operational reports.
- Keep work orders organized and up to date.
- Track employee attendance and crew assignments.
- Maintain dispatch calendars and scheduling software.
- Assist with operational reporting for upper management.
- Maintain organized electronic and physical records.
Performance & Accountability
- Ensure crews leave the yard on time each morning.
- Monitor production versus estimated job hours.
- Hold supervisors accountable for reporting delays and productivity concerns.
- Improve scheduling efficiency to reduce downtime and unnecessary overtime.
- Promote accountability through accurate documentation and consistent communication.
- Continuously recommend improvements to increase operational efficiency and profitability.
QualificationsRequired
- Minimum of 2 years of dispatching, scheduling, operations coordination, or construction management experience.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to multitask in a fast-paced environment.
- Strong computer skills, including Microsoft Office and Google Workspace.
- Ability to prioritize multiple tasks and meet deadlines.
- Professional customer service skills.
- Valid California Driver's License with a clean driving record.
Preferred
- Experience in pavement maintenance, construction, asphalt, striping, or related industries.
- Bilingual (English/Spanish) preferred.
- Experience coordinating multiple field crews.
- Knowledge of Southern California roadways and service areas.
- Experience with scheduling and dispatch software.
- Familiarity with payroll tracking and labor management.
