Job Overview
Industrial Procurement Services and AW-Systems are seeking a dependable, detail-oriented Accounting & Office Operations Manager to support the financial and administrative operations of our growing companies.
This role combines hands-on bookkeeping and accounting support with broader office operations responsibilities. The primary focus of the position is maintaining accurate financial records, supporting accounting processes, coordinating with outside accounting resources, and helping leadership maintain clear visibility into the financial health of the business. The position also includes ownership of day-to-day office functions that help keep the company organized, responsive, and running smoothly.
As the companies continue to grow, this role may expand into greater ownership of financial reporting, accounting processes, internal controls, and business administration. The right candidate will be trustworthy, organized, proactive, and comfortable working in a small-business environment where priorities can shift and where follow-through matters.
This position works closely with ownership, internal leadership, outside accountants, vendors, subcontractors, customers, and other business partners.
Key Responsibilities
Accounting and Bookkeeping
- Manage day-to-day bookkeeping for the company
- Maintain accurate general ledger records and related accounting activity
- Process accounts payable and accounts receivable
- Reconcile checking, savings, credit card, and line of credit accounts
- Assist with month-end close activities
- Prepare and review journal entries as needed
- Support job costing and project-level financial tracking
- Monitor cash flow and assist with budget tracking
- Maintain organized financial records and supporting documentation
- Coordinate with outside accountants for tax filings, reporting, and year-end close
- Assist with sales and use tax filings
- Support internal controls and help maintain clean accounting processes
- Assist with documentation needed for audits, insurance reviews, banking, and compliance requests
- Help improve accounting procedures, reporting practices, documentation, and internal controls as the business continues to grow
- Ensure accounting records are accurate, timely, and well organized
Office Operations and Administration
- Help maintain a professional, organized, and efficient office environment
- Answer incoming phone calls and direct inquiries appropriately
- Greet visitors, vendors, and service providers when needed
- Manage office supplies, breakroom supplies, printer supplies, and basic company materials
- Coordinate small office maintenance needs, service calls, repairs, inspections, and vendor visits
- Support mail, deliveries, filing, document organization, and general office administration
- Maintain vendor contact lists, service records, office files, and recurring administrative reminders
- Assist with basic facility-related tasks such as conference room readiness, office organization, and light upkeep
- Water office plants and help maintain a clean, welcoming workspace
- Support company leadership with administrative tasks, scheduling, follow-up items, and special projects
- Assist with onboarding paperwork and employee record organization when needed
- Help coordinate company lunches, meetings, travel support, or internal events as needed
General Business Support
- Serve as a reliable point of contact for routine internal office needs
- Support both IndPro and AW-Systems administrative workflows
- Assist with organizing project paperwork, vendor documentation, insurance certificates, W-9s, customer forms, and other business records
- Help maintain order and accountability across office systems, files, and recurring processes
- Take ownership of small issues before they become larger problems
- Perform other related duties as assigned
Ideal Qualifications
- 5+ years of bookkeeping, accounting, office management, or business administration experience
- Experience with QuickBooks Desktop strongly preferred
- Strong understanding of accounts payable, accounts receivable, reconciliations, and general ledger activity
- Experience supporting month-end close and working with outside accountants
- Job costing or project accounting experience preferred
- Strong organizational skills and attention to detail
- Ability to work independently with minimal supervision
- Excellent verbal and written communication skills
- Professional phone presence and customer service mindset
- Comfortable managing multiple priorities in a small-business environment
- Practical, hands-on attitude and willingness to help where needed
- Proficiency with Microsoft Office, Excel, Outlook, and general office technology
- Ability to handle confidential financial, employee, and company information with discretion
- Ability to identify process gaps and help improve internal procedures over time
Preferred Qualifications
- Associate’s or bachelor’s degree in accounting, finance, business administration, or related field
- Prior experience in construction, industrial services, distribution, material handling, government contracting, or project-based businesses
- Experience with sales and use tax
- Experience supporting multiple related business entities
- Familiarity with insurance certificates, vendor setup forms, W-9s, and basic compliance documentation
- Interest in growing with the company and taking on expanded responsibility over time
