PROJECT COORDINATOR

Heavy Civil / Earthwork Construction
Part-Time or Full-Time Opportunity

THE ROLE

The Project Coordinator provides day-to-day support to our Senior Project Manager and Estimating team. This is an important behind-the-scenes role focused on keeping bids, projects, paperwork, deadlines, and information organized and moving.

We're looking for someone with previous project coordination experience who is organized, dependable, detail-oriented, and enjoys being the person who helps keep everything on track.

This person doesn't need to run the project—they need to be great at supporting the people who do.

Reports To: Senior Project Manager
Works Closely With: Senior Project Manager and President

POSITION STRUCTURE

We are open to both part-time and full-time candidates. Hours and schedule can be discussed based on the candidate's experience, qualifications, and desired schedule.

Our priority is finding the right person who can provide dependable support to our Senior Project Manager and Estimating team while being a great fit for our company and culture.

WHAT YOU'LL DOEstimating & Bid Support

Assist with preparing and submitting bids.
Request and coordinate bid bonds.
Gather required bid forms and supporting documentation.
Request vendor and subcontractor quotes and follow up on outstanding pricing.
Organize quotes and bid information for Estimators.
Track bid dates and deadlines

Project Support

Provide day-to-day support to the Senior Project Manager.
Assist with project setup, documentation, and general project paperwork.
Assist with purchase orders and subcontract documentation.
Request and organize vendor and subcontractor pricing.
Assist with job billings and pay applications.
Gather quantities, backup, and other information needed for billing.
Track outstanding project items and follow up as needed.
Assist with project closeout paperwork.

General Coordination & Support

Communicate and follow up with vendors, subcontractors, and customers as needed.
Assist with bonds, insurance certificates, prequalifications, and other required documentation.
Prepare and maintain spreadsheets, forms, and project documents.
Keep important dates, deadlines, and follow-up items organized.
Jump in and assist the Senior Project Manager and Estimators with miscellaneous tasks needed to keep bids and projects moving.

WHAT WE'RE LOOKING FOR

Previous project coordination experience required.
Construction industry experience strongly preferred.
Highly organized with strong attention to detail.
Able to manage multiple priorities and deadlines.
Comfortable working with numbers, documents, and spreadsheets.
Proficient with Microsoft Excel, Word, Outlook, and general computer systems.
Strong written and verbal communication skills.
Able to work independently and take ownership of assigned responsibilities.
Comfortable following up and getting the information needed to complete a task.

The Project Coordinator helps keep the details from falling through the cracks.

Bids are submitted on time. Bid bonds and required documents are ready. Vendor quotes are collected and organized. Billing information is prepared when needed. Project paperwork stays organized. Deadlines and follow-ups are handled.

Most importantly, you become someone the team can count on—handling the important behind-the-scenes details so our Senior Project Manager and Estimators can stay focused on managing projects, winning work, building relationships, and continuing to grow T. Scherber.
