Position Summary
Buffalo Plastic Surgery is seeking a highly organized, proactive, and solutions-driven Operations Manager to oversee the day-to-day operations of our growing plastic surgery practice and medical spa. This individual will ensure every aspect of the practice runs efficiently while maintaining an exceptional patient experience.

Primary ResponsibilitiesPractice Operations
- Oversee the daily operations of both the plastic surgery practice and medical spa.
- Ensure efficient patient flow from consultation through post-operative care.
- Develop, implement, and improve office policies, workflows, and standard operating procedures (SOPs).
- Monitor practice performance and identify opportunities for increased efficiency.
- Maintain compliance with HIPAA, OSHA, and state regulations.
Team Leadership
- Lead, coach, and mentor front office, clinical, and administrative staff.
- Conduct regular team meetings and performance reviews.
- Assist with hiring, onboarding, training, and staff development.
- Foster a positive, accountable, and patient-focused culture.
- Manage scheduling to ensure appropriate staffing levels.
Patient Experience
- Ensure every patient receives exceptional customer service.
- Resolve patient concerns professionally and promptly.
- Monitor online reviews and patient satisfaction metrics.
- Continuously improve the patient journey from first inquiry through long-term follow-up.
Surgical Operations
- Coordinate surgical schedules with the surgeon and surgery coordinator.
- Ensure all pre-operative requirements are completed on time.
- Maintain communication between patients, surgical facilities, and referring providers.
- Help optimize operating room utilization and scheduling efficiency.
Medical Spa Operations
- Oversee daily medspa scheduling and provider utilization.
- Assist with launching new services and promotions.
- Monitor inventory of injectables, skincare products, and supplies.
- Ensure treatment protocols and documentation standards are followed.
Financial & Business Performance
- Monitor key performance indicators (KPIs), including:
- Consultation conversion rates
- Surgery bookings
- MedSpa revenue
- Provider productivity
- Patient retention
- Retail sales
- Assist with budgeting and financial planning.
- Identify opportunities to increase revenue while maintaining outstanding patient care.
Marketing Collaboration
- Work alongside the marketing team to execute promotions and events.
- Ensure the office reflects the Buffalo Plastic Surgery brand at all times.
- Support community outreach, educational events, and practice growth initiatives.
Quality Improvement
- Analyze workflows and implement improvements.
- Develop and maintain operational manuals and SOPs.
- Track office performance metrics and prepare monthly reports.
- Encourage continuous improvement throughout the organization.
QualificationsRequired
- Bachelor's degree preferred (Healthcare Administration, Business, or related field).
- 3–5+ years of management experience.
- Strong leadership and organizational skills.
- Excellent written and verbal communication.
- Ability to multitask in a fast-paced environment.
- Strong problem-solving and decision-making abilities.
- Proficiency with Microsoft Office and practice management software.
Preferred
- Experience in plastic surgery, cosmetic medicine, dermatology, aesthetics, or another elective healthcare specialty.
- Knowledge of surgical scheduling and medical spa operations.
- Experience managing teams of 10–30 employees.
- Familiarity with CRM and patient communication systems.

Pay: $59,342.48 - $71,466.22 per year
