General Description

SUNY Niagara is seeking a dynamic, organized, and community-focused Part-Time Program Administrator to join our Workforce Development team. This position plays a vital role in connecting individuals with education and training opportunities that lead to meaningful careers while helping local employers develop a highly skilled workforce.

The successful candidate will coordinate workforce training programs from planning through implementation, recruit and advise prospective students, cultivate partnerships with community organizations and employers, and ensure high-quality educational experiences for participants.

Typical Work Activities

Enhancing department and organization reputation by contributing to programming plans and reviews; resolving problems; identifying trends; implementing change.
Creating and delivering recruitment presentations to individuals and groups both inside and outside of SUNY Niagara.
Meeting financial objectives by forecasting requirements and assisting in the preparation of the annual budget; scheduling expenditures; initiating corrective actions.
Updating job knowledge and staying current with licensing requirements and curriculum changes.
Achieving operational objectives by organizing office operations and procedures; preparing faculty appointment letters; controlling correspondence; reviewing contracts; purchasing, delivering, or shipping class supplies when required by partner agencies.
Keeping management informed by reviewing and analyzing special reports of new trends in the industry and alternative educational delivery and programs.
Following procedures for retention, protection, retrieval, transfer, and disposal of records.
In collaboration with the Human Resources department, advertising for vacancies, interviewing and onboarding new instructors. Ongoing evaluation of employees; planning, monitoring, and appraising job results.

Record Keeping:

Collecting resumes, syllabi, student learning outcomes, student evaluations, weekly attendance sheets, and evaluations for each class.
Maintaining a database of all students for annual reporting.
Assisting with data entry for any necessary reporting.
Collecting and retaining all necessary classroom records in compliance with funder, relevant agency, and SUNY Niagara policies.
Inventorying of equipment, source equipment/supplies, and obtaining required bids per college policy, remaining compliant with mandated equipment rotation.

Instructor Oversite:

Generating appointment letters for each instructor.
Monitoring instructor time and attendance, approving time in Banner per college policy.
Observing class sessions when necessary.

Class/Student Responsibilities:

Developing a plan for program offerings each year.
Developing course schedules in collaboration with faculty.
Ensuring information for classes and funding is accurate and up-to-date on the Workforce Development Website.
Advertising and marketing programs.
Recruiting and registering students, responding to student questions in an accurate and timely fashion and where necessary, providing students with funding assistance and career guidance.
Responding to funders and potential students in a timely and accurate fashion.
Actively engaging and meeting with businesses, funders’ agencies, and others to promote program offerings and facilitate job placement, internships, and apprenticeships for students.
Attending internal and external events to promote program offerings to potential students.
Working with current funders (i.e. NFHA, SEIU, Access-VR, etc.) to register and provide necessary documentation for funding as established by funder.
Ensuring that rooms have been reserved and students and instructors are aware.
Ordering books, materials, and PPE required for courses.
Coordinating with bookstore and security to notify students when they are able to obtain college ID’s and purchase required textbooks.
Providing class roster, sign in sheets, and other necessary materials to instructors.
Confirming technology needs of instructors and providing access to college computers.
Regularly collecting attendance rosters, ensuring they are signed and when necessary, provided to the Business Office so they may bill funded students.
Other duties as assigned.

Essential Functions

Must be able to communicate verbally and in writing; must be able to relate effectively to diverse populations; must be able to operate a computer to maintain records and produce written reports; must be able to make presentation to groups; must be organized and able to maintain files and accurate records; must be able to physically perform the duties of the position to include travel within the local community.

Required Qualifications

Associate Degree;
Administrative experience;
Experience with Microsoft Office;
Experience working with diverse populations;
Some experience with sales, marketing and/or student or participant recruitment.

Desirable Qualifications

Bachelor or Master’s Degree;
Supervisory experience;
Experience with admissions;
Familiarity with community agencies;
Experience with presentations and/or tabling.
