Summary of Function:
The Production Coordinator is responsible for coordinating the daily flow of production activities across the facility. This cross-functional role helps ensure that production priorities are clearly communicated, required resources are available, engineering trials are coordinated, and new product launches and production changes are executed effectively.
The Production Coordinator maintains real-time visibility of production constraints and works closely with Production, Materials, Engineering, Quality, Tooling, and other support functions to keep the production schedule executable. The position responds to changing floor conditions, communicates adjustments promptly, and provides Production Supervisors and Leads with the information and coordination needed to operate their shifts efficiently.
This position does not directly supervise production employees. It supports operational execution by coordinating priorities, resources, information, and follow-up across departments.
Major Duties and Responsibilities:
Production Planning and Daily Flow Management
- Maintain and update the short-term production plan based on customer priorities, available capacity, material availability, staffing, equipment status, and real-time floor conditions.
- Translate production requirements into clear daily priorities for Production Supervisors, Leads, Process Technicians, Materials personnel, and support teams.
- Verify that labor, materials, tooling, fixtures, equipment, work instructions, and required documentation are available before scheduled work begins.
- Monitor production progress throughout the day and identify conditions that may affect output, quality, or customer delivery.
- Adjust production priorities as operating conditions change, in coordination with Operations leadership and affected departments.
- Identify risks such as machine downtime, material shortages, tooling concerns, documentation gaps, labor limitations, or competing resource needs.
- Escalate significant risks promptly and provide recommended options to minimize disruption.
- Track schedule attainment, production interruptions, and reasons for missed or delayed work.
- Communicate schedule changes and their impact to appropriate stakeholders in a timely manner.
Cross-Functional Coordination
- Serve as a central point of coordination among Production, Materials, Engineering, Quality, Tooling, Maintenance, Project Launch, and other support functions.
- Facilitate daily production-readiness discussions regarding current priorities, constraints, open issues, and upcoming work.
- Coordinate cross-functional responses to production issues requiring immediate attention or support.
- Track open actions resulting from engineering changes, quality alerts, material issues, equipment concerns, launch activities, or production interruptions.
- Follow up with action owners to support timely completion and escalation of unresolved items.
- Provide Production Supervisors and Leads with accurate and timely information needed to execute shift priorities.
- Communicate potential conflicts involving machines, personnel, tooling, materials, or support resources.
- Promote clear handoffs and consistent communication across shifts and departments.
Engineering Trial and Validation Support
- Coordinate the scheduling and execution of engineering trials, sample runs, validations, process changes, and other nonstandard production activities.
- Confirm that materials, machines, molds, tooling, fixtures, documentation, inspection resources, and required personnel are prepared before scheduled trials.
- Maintain a visible and current calendar of upcoming trials, validations, and sample runs.
- Communicate how planned engineering activities may affect production capacity, staffing, equipment availability, or customer orders.
- Coordinate with Engineering, Quality, Materials, and Production to resolve readiness gaps before activities begin.
- Document trial status, outcomes, issues, decisions, and required follow-up actions.
- Route information and action items to Engineering, Quality, Operations leadership, and other appropriate stakeholders.
- Escalate incomplete preparation or unresolved concerns that may prevent a successful trial or validation.
Launch and Changeover Readiness
- Support new product launches, production transfers, engineering changes, and significant process changes by coordinating readiness activities across departments.
- Maintain readiness checklists and track completion of required launch activities.
- Confirm that approved documentation, materials, tooling, inspection methods, training, equipment, and staffing are available before the first production run.
- Coordinate production changeovers to minimize downtime and disruption to scheduled work.
- Monitor first-run performance and communicate issues involving quality, cycle time, scrap, tooling, staffing, or process stability.
- Escalate launch and first-run issues promptly to the appropriate functional leaders.
- Communicate the impact of launches, trials, and changeovers on production capacity, labor requirements, tooling availability, and customer delivery.
- Track unresolved launch issues through closure and help ensure lessons learned are incorporated into future launches.
Documentation, ERP Accuracy, and Reporting
- Support accurate and timely entry of production quantities, scrap, downtime, labor, and material usage within the company’s ERP and production systems.
- Review production-system information for apparent gaps, inconsistencies, or incomplete transactions and coordinate corrections with appropriate personnel.
- Maintain production schedules, readiness trackers, constraint logs, trial calendars, and action-item lists.
- Prepare daily and weekly summaries of production status, schedule attainment, constraints, open risks, and upcoming priorities.
- Provide Operations leadership with clear visibility of issues affecting production performance or customer delivery.
- Maintain organized records related to production coordination, engineering trials, launches, and schedule changes.
- Help ensure that current and approved work instructions, routers, drawings, quality documentation, and related records are available at the point of use.
- Protect confidential business, customer, employee, and technical information.
Floor Support and Operational Readiness
- Conduct routine floor walks to verify production progress, schedule execution, material availability, operator readiness, and resource alignment.
- Identify discrepancies between the production plan and actual floor conditions.
- Work with Supervisors and Leads to coordinate machine assignments, labor moves, priority changes, and cross-shift handoffs.
- Confirm that tooling, fixtures, materials, work instructions, packaging, and required documentation are staged before jobs begin.
- Help coordinate resources and communication during containment activities, quality alerts, corrective actions, and urgent production issues.
- Maintain visibility of machines or jobs that are down, delayed, awaiting disposition, or otherwise unable to run.
- Escalate safety, quality, delivery, or operational concerns through the appropriate channels.
- Support production recovery planning following downtime, material delays, quality concerns, or other interruptions.
- Provide coordination support without overriding the supervisory authority of Production Supervisors or the technical authority of Engineering and Quality.
Continuous Improvement and Problem Solving
- Identify recurring inefficiencies involving production planning, communication, material flow, changeovers, documentation, or cross-functional coordination.
- Recommend practical improvements that increase production readiness, schedule stability, and operational efficiency.
- Participate in root-cause investigations related to downtime, scrap, schedule misses, material shortages, or production disruptions.
- Help track corrective actions and verify that assigned follow-up activities are completed.
- Support the standardization of production-planning, communication, and shift-handoff processes.
- Develop and maintain visual management tools that improve visibility of priorities, constraints, trials, and production status.
- Track and report schedule attainment, production efficiency, downtime causes, readiness gaps, and other agreed-upon performance measures.
- Support continuous-improvement projects and help sustain implemented changes.

Experience and/or Educational Requirements:
Required
- High school diploma or GED.
- Three or more years of experience in production coordination, manufacturing planning, materials coordination, operations support, or a related manufacturing role.
- Experience working in a fast-paced manufacturing environment.
- Experience coordinating work across multiple departments or functional groups.
- Working knowledge of production schedules, material flow, equipment constraints, labor requirements, and manufacturing documentation.
- Experience entering, reviewing, or maintaining information in an ERP, MRP, or production-management system.
- Proficiency with Microsoft Office applications, including Outlook, Excel, and Teams.
Preferred
- Associate degree or bachelor’s degree in operations management, supply chain, business, engineering technology, or a related field.
- Experience in medical device, pharmaceutical, plastics, injection molding, or another regulated manufacturing environment.
- Experience supporting new product launches, engineering trials, validations, or production transfers.
- Experience using visual management, Lean manufacturing, or continuous-improvement tools.
- Experience with production scheduling, capacity planning, or material requirements planning.
- Familiarity with ISO 13485, FDA-regulated manufacturing, Good Manufacturing Practices, or similar quality-system requirements.

Pay: $60,000.00 - $75,000.00 per year
