Who We Are Looking For

Invictus is seeking a proactive, highly organized professional with a background in financial planning who takes ownership of what comes next without waiting to be asked. In this role, reliability, discipline and commitment are necessary character traits. You will maintain clear, professional communication, sound discretion with sensitive information, and the judgment to know when to operate within established processes and when to escalate to the advisory team.

Roles & Responsibilities

In this role, you will support our advisors by servicing and monitoring client accounts, supporting the firm’s compliance program, and coordinating the onboarding, documentation, and outreach that keep client engagements moving and foster firm growth.

- Account Servicing & Monitoring

Track open accounts and process account-related transactions on an administrative, non-trading basis, keeping records accurate and current.
Monitor accounts and cash against client investment objectives, guidelines, and restrictions, escalating anything outside those parameters to the lead advisor.

- Compliance Program Support

Support the firm's compliance calendar under the direction of the Chief Compliance Officer, including helping prepare, review, and schedule annual ADV updates and assisting with recurring recordkeeping and reporting tasks.
Maintain compliance records and help track recurring reviews, flagging items that need the CCO's attention.

- Client Onboarding & Documentation

Gather client information and prepare account opening paperwork, confirming that each new account is complete, accurate, and accompanied by all required agreements and disclosures.
Proactively follow up with current and prospective clients to obtain outstanding documents and signatures, keeping every file complete and on track.

- Client & Advisor Coordination

Serve as a reliable point of contact for routine client and attorney communications, responding professionally and bringing matters to the advisory team as appropriate.
Coordinate and schedule meetings among clients, attorneys, and advisors, and prepare and proof presentation materials so each meeting is clear and accurate.

- Records & Materials Management

Maintain organized, accurate, and up-to-date records across the firm's account and planning platforms, following firm standards for naming, version control, and storage.
Distribute approved client and marketing materials, ensuring each is current and accurate.

Qualifications

At a minimum, candidates must have the following:

1 to 3 years of experience in financial planning, or a related field.
Strong organizational and critical thinking skills, high attention to detail, and the ability to manage multiple clients, tasks, and deadlines while following through consistently.
Sound judgment and discretion in handling confidential client and financial information.
Clear and professional written and verbal communication skills, and comfort communicating by phone and email with clients and attorneys.
Growth mindset, with a willingness to learn, take on new challenges, and continuously improve.
Emotional and professional intelligence, with the interpersonal awareness to build trust with clients and colleagues and to exercise sound judgment in sensitive situations.

The following are preferred but not required:

Experience with the Charles Schwab, AssetMark, and RightCapital platforms.
An active Series 65 license.

What We Offer

Hours: Monday – Friday, 8:30 a.m. to 5:00 p.m.

Compensation: Competitive base salary to start, with the potential for additional performance-based incentive compensation as you take on greater responsibility, obtain relevant licensing, and the firm continues to grow.

Growth: Clear pathways for advancement with increased independence and scope over time, which will be further discussed during the interview process.

Pay: $55,000.00 - $70,000.00 per year
