Pay: $25.00 – $28.00 / hour + Guaranteed Peak-Season Overtime + Performance Bonuses

Backed by an established leadership team across Sales, Dispatch, and Warehouse operations, we manage 60+ field crew members and a dedicated office team. We operate in a fast-paced, high-volume environment where accuracy, speed, and follow-through matter.

We are seeking a sharp, highly autonomous HR, Payroll & Office Specialist to take direct ownership of our daily back-office operations, payroll auditing, vendor accounts payable, and driver compliance.

Role Overview

This is a hands-on, end-to-end administrative role for a self-directed "doer." You will serve as the operational backbone of our office—handling everything from daily fuel receipt scanning and vendor bill pay to auditing bi-weekly payroll for 60+ workers and managing FMCSA/DOT compliance files.

We are not looking for a delegator or an assistant who needs step-by-step supervision. We need an organized problem-solver who double-checks their own work, catches discrepancies before they become issues, and takes pride in keeping the back office running flawlessly.

Key Responsibilities

Payroll Auditing & Processing: Cross-reference SmartMoving job hours against Payville/LiftHCM timecards to audit, prepare, and process bi-weekly pay runs for 60+ hourly field movers, drivers, and office staff. Independently spot and resolve missing timecard entries or overtime discrepancies.
Receipt Management & Accounts Payable: Collect, audit, scan, and upload daily operational receipts (fuel, truck maintenance, parking, tolls, hotels) into QuickBooks. Schedule and process recurring vendor bills, manage accounts payable, and keep vendor balances current.
Job Closing & Billing Reconciliation: Audit completed move files daily in SmartMoving CRM (full training provided). Reconcile dispatch hours, final billing totals, and crew tips, ensuring all payment data syncs accurately with QuickBooks.
Recruiting & Digital Onboarding: Oversee full-cycle hiring for drivers, movers, and crew leaders using LiftHCM (isolved). Coordinate background screens, drug testing, and digital onboarding setup.
Regulatory & Safety Compliance: Maintain FMCSA/DOT driver qualification files, track driver medical cards/CDLs, and enforce Chicago/Illinois labor law requirements (paid leave, mandatory training, meal break records).
Storage Accounts Receivable & Office Administration: Monitor monthly private storage accounts in SmartMoving, collect recurring billing on time, manage office mail, order supplies, and support operational leadership.

What We Are Looking For

Experience: 3+ years of direct experience in office administration, in-house payroll processing, accounts payable/bookkeeping, or HR compliance. (Experience in logistics, trucking, moving, construction, or high-volume service industries is a major plus).
Proven Autonomy: Ability to manage your own workflow without needing constant supervision or hand-holding.
Software Competency: Direct experience using QuickBooks Online and modern HR/payroll software (LiftHCM, isolved, Payville, ADP, Paycor, or similar). Ability to learn new CRM systems quickly.
Extreme Attention to Detail: You catch missing receipts, miscalculated timecard hours, or expiring driver medical cards automatically.
Languages: Bilingual proficiency (Spanish / English) preferred, but not required.

Compensation & Benefits

Base Hourly Pay: $25.00 – $28.00 / hour (based on experience).
Schedule: Full-time (100% On-Site). ~38 hours/week off-season (September–February); ~48 hours/week peak season (March–August with guaranteed 1.5x overtime pay over 40 hours).
Performance Bonus: Up to $8,000 – $10,000+ in annual performance bonuses tied to job-closing accuracy, 100% receipt upload completeness, timely bill pay, and compliance audit scores.
Health Coverage: Choice between High-Deductible Health Plan w/ HSA or traditional health plan (Employer covers 25% of employee premium).
Voluntary Benefits: Voluntary Dental & Vision insurance plans.
Retirement: SIMPLE IRA with up to a 3% company match.
Paid Time Off: Paid time off and Chicago paid sick/safe leave.
