Full Job Description

The Executive Administrative Assistant to School Administration provides high-level administrative support to senior leadership. This role serves as a key liaison between the executive office and internal and external stakeholders, ensuring efficient operations, effective communication, and exceptional service delivery. Salaried Exempt Position

Key Responsibilities

Executive Support
Manage and maintain executive calendars; coordinate meetings, candidate interviews, and events; and ensure efficient scheduling and time management for school leadership.
Communication & Liaison
Serve as a primary point of contact for internal and external communications. Draft, proofread, and format correspondence, reports, and presentations with a high level of professionalism and accuracy.
Meeting & Event Coordination
Prepare meeting agendas, coordinate logistics, and take accurate minutes for leadership meetings, including Orientation Day, Board of Directors and committee meetings.
Data & Record Management
Maintain confidential personnel and administrative records. Ensure accurate data entry, database updates, and reconciliation across school systems.
Committee Support
Act as Recording Secretary for designated committees. Attend meetings, document proceedings, and maintain organized records and documentation.
Interdepartmental Collaboration
Work collaboratively with the Business Office, Human Resources, Facilities, and Technology departments to support overall school operations.
Research & Reporting
Conduct research and compile information to support leadership briefings, reporting requirements, and accreditation processes.
Additional Responsibilities
Perform other duties as assigned to support the needs of the School's Administrators.

Qualifications & Skills

Education & Experience

Bachelor's degree preferred. Minimum of five (5) years of supporting school administration/leadership or C-Level executives.

Technical Skills

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with PowerSchool or similar student/school management systems preferred.

Knowledge of American Sign Language (ASL), or a willingness to learn, is required. Candidates should be open to completing a Sign Language Proficiency Interview (SLPI) and working toward the proficiency level established for the position by SMSD, with support for continued skill development.
