Position Overview

Life Safety is seeking a highly organized, proactive, and detail-oriented Accountant / Office Manager to join our growing team. This key role blends accounting responsibilities with office administration and operational leadership, serving as a central support function for both financial management and daily business operations.

The ideal candidate is a dependable professional who thrives in a fast-paced environment, possesses strong accounting knowledge, and takes pride in maintaining an efficient, well-organized office. This individual will play a critical role in supporting leadership, streamlining administrative processes, ensuring financial accuracy, and contributing to the overall success of the organization.

Key ResponsibilitiesOffice Management & Administrative Operations

Oversee the day-to-day operations of the office to ensure an organized, efficient, and professional work environment
Provide administrative support to company leadership and various departments
Manage office supplies, vendor relationships, equipment coordination, and facility-related needs
Coordinate internal communication between departments, clients, vendors, and staff
Support scheduling, document management, reporting, and operational workflow coordination
Assist with onboarding and administrative setup for new employees
Develop, implement, and improve internal office procedures and organizational systems
Maintain confidential company records and handle sensitive information with professionalism and discretion
Support special projects and provide general operational assistance as needed
Help foster a positive, collaborative, and productive workplace culture

Accounting & Financial Responsibilities

Reconcile general ledger accounts and assist with month-end closing activities
Process and post incoming payments, including checks and electronic transactions
Record, review, and reconcile company credit card transactions and supporting documentation
Prepare, maintain, and post daily bank deposits
Perform reconciliations for operating accounts across multiple entities
Support accounts payable, accounts receivable, and related accounting functions
Assist with budgeting, forecasting, and financial planning initiatives
Conduct general ledger reviews and assist with basic financial analysis
Support internal audits, billing code reviews, and case audits as needed
Maintain accurate financial records while ensuring compliance with company policies and accounting procedures

QualificationsRequired Skills & Experience

Previous experience in office management, accounting, bookkeeping, or administrative operations required
Associate’s degree or higher in Accounting, Business Administration, or a related field preferred
Proficiency in QuickBooks required
Strong working knowledge of Microsoft Excel and the Microsoft Office Suite
Excellent organizational, multitasking, and time-management skills
Strong attention to detail and ability to maintain accuracy in a deadline-driven environment
Professional written and verbal communication skills
Ability to work independently while collaborating effectively within a team environment
Strong problem-solving, critical-thinking, and decision-making abilities
Professional demeanor with a proactive and service-oriented mindset

Compensation

$60,000 – $80,000 annually, based on experience and qualifications.
