Full Job Description

Assistant Director of Clinic Operations

Position Type: Full-Time

General Position Description

The Assistant Director of Clinic Operations supports the daily management, operational efficiency, and strategic development of the Yo San University Blount Community Clinic. This position works closely with the Clinic Leadership Team and University Administration to ensure the clinic achieves its operational, educational, financial, and patient care goals.

The Assistant Director will gain hands-on experience in clinic administration, financial oversight, data analysis, staff coordination, quality improvement, and clinical education support. Upon successful completion of the probationary period, and based on demonstrated performance and organizational needs, the Assistant Director of Clinic Operations may be promoted to Director of Clinic Operations with expanded leadership responsibilities.

Qualifications

Minimum of 3–5 years of experience in office administration, healthcare administration, personnel coordination, customer service, or related operational roles.
Strong organizational skills with the ability to manage multiple priorities in a fast-paced clinical and educational environment.
Excellent interpersonal, verbal, and written communication skills.
Demonstrated ability to provide outstanding customer service and maintain positive relationships with patients, students, faculty, staff, and community partners.
Strong leadership potential with the ability to support and motivate teams.
Proficiency with Microsoft Office applications and willingness to learn specialized clinic management software (Jane).
College degree required.
Experience in healthcare, acupuncture, Traditional Chinese Medicine, or higher education administration is preferred but not required.

Reporting Structure

The Assistant Director of Clinic Operations reports directly to the Director of Clinic Operations and works closely with the Clinic Leadership Team and University Administration.

Responsibilities:

Administrative & Operational Support

Assist with daily clinic operations to ensure efficient workflow and high-quality patient service.
Support front desk operations, scheduling, staffing coordination, and coverage needs.
Assist with reviewing and adjusting staff timesheets for clinic personnel, including front desk staff, herb lab staff, fellows, practitioners, and supervisors.
Support clinic financial operations, including revenue tracking, expense monitoring, transaction reconciliation, and preparation of operational reports.
Assist with vendor coordination and management of essential clinic services.
Maintain accurate clinic records, documentation, and administrative processes.

Staff Coordination & Leadership Development

Support supervision, training, and development of front office staff and clinic personnel.
Assist with staff meetings, practitioner meetings, supervisor meetings, and clinic operational communications.
Help prepare presentations, meeting materials, and operational updates.
Participate in performance review processes and provide support for staff coaching and improvement initiatives.
Promote a collaborative, professional, and patient-centered work environment.

Data Analysis & Quality Improvement

Assist with reviewing clinic performance data, including patient volume, revenue, intern activity, and patient satisfaction.
Conduct routine audits and quality checks using clinic management systems.
Assist in developing and analyzing surveys for patients, interns, faculty, and staff.
Support continuous quality improvement initiatives to enhance clinic operations and service delivery.
Identify operational challenges and recommend solutions.

Clinical & Educational Support

Assist with intern scheduling processes, including add/drop shift requests and schedule adjustments.
Support trimester clinic lottery processes, faculty assignments, and intern placement coordination.
Assist with communications to interns, supervisors, and faculty regarding clinic policies, deadlines, reminders, and operational updates.
Support intern and faculty evaluation processes and documentation.
Participate in orientation and training activities for new interns and clinical faculty.

Marketing & Community Engagement Support

Assist with implementation of clinic marketing initiatives and community outreach activities.
Support tracking of referral sources, patient engagement efforts, and marketing performance.
Participate in clinic events, university activities, open houses, and community programs.

Other Responsibilities

Participate in university and departmental meetings as needed.
Provide administrative support for special projects and institutional initiatives.
Perform other duties assigned by the University Administration.
