Overview
We are seeking a dynamic and highly organized Office Administrator to join our team and help streamline daily operations across our office environment. This vital role ensures that administrative functions run smoothly, supporting team productivity and fostering a welcoming, efficient workspace. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to manage a variety of tasks ranging from clerical duties. In this role, you will have the opportunity to contribute to a positive office culture while developing your skills in office management, human resources, and administrative support.

Responsibilities

Manage the daily operations of the office, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy.
Assist with human resources functions including onboarding new employees, managing payroll processes, and supporting employee records management.
Support office budgeting efforts by monitoring expenses and preparing reports for management review.
Ensure filing systems are organized and up-to-date; manage document retention policies in compliance with company standards.
Oversee office supply inventory levels; place orders as needed to ensure smooth daily operations.
Facilitate communication within the team through effective email correspondence, phone etiquette, and internal messaging systems.

Requirements

Proven experience in office administration or related roles with strong clerical and organizational skills.
Demonstrated supervisory experience with the ability to lead a team effectively.
Proficiency in QuickBooks for bookkeeping and payroll processing; familiarity with budgeting tools is a plus.
Excellent communication skills—both verbal and written—and professional phone etiquette.
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
Experience managing schedules using calendar management tools; capable of coordinating multiple priorities seamlessly.
Background in human resources functions such as onboarding, employee recordkeeping, and payroll support preferred.
Experience in event planning for meetings or corporate functions is advantageous.
Ability to handle confidential information discreetly while maintaining professionalism at all times.
