Overview

Cat Sitting by Susan is the biggest cat sitting company in Northern Virginia. We serve over 5,000 families and are growing. We need a person who loves cats and is also great at office work to work 9 to 5 Monday through Friday in our Falls Church office. This person will be responsible for communicating with clients, onboarding new clients, and also communicating with our manager and many cat sitters.

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting team members, and providing exceptional customer service. The ideal candidate will demonstrate strong organizational skills, technical proficiency, and a proactive approach to office management. Join us to be a key driver in creating a productive, welcoming, and well-managed workplace that empowers our team to succeed.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy
Oversee office supplies inventory, order necessary materials, and maintain filing systems for easy access and organization
Coordinate calendar management, schedule appointments, meetings, and events to optimize team productivity
Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office applications
Handle clerical duties including proofreading documents, word processing, and maintaining detailed records of correspondence and transactions
Support client communication efforts by providing timely responses via phone or email, ensuring excellent customer service and support
Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping

Skills

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry software
Excellent computer literacy with the ability to adapt quickly to new technical tools and software platforms
Strong phone communication skills with professional phone etiquette and experience managing multi-line phone systems
Demonstrated ability to handle clerical tasks efficiently including filing, proofreading, calendar management, and document preparation
Exceptional time management skills to prioritize tasks effectively in a fast-paced environment
Previous experience with customer service or client communication roles that require patience, clarity, and professionalism
